Taylor Nelson PL is seeking a dynamic, resourceful, and solutions oriented Executive Assistant with outstanding administrative and organization skills. This opening is available in the firm’s Winter Haven. FL Main Office. We are a small firm with a national footprint, handling complex and challenging matters that make a real business impact across the country. The Operations & Administrative Executive Assistant will report to the Firm’s Chief Administrative Officer (CAO).
Position Overview:
As the CAO Executive Assistant, you will play a crucial role in supporting the Chief Administrative Officer and ensuring the smooth functioning of administrative operations within our firm. This role demands a highly organized and detail-oriented professional who can manage a variety of tasks with precision and efficiency along with a basic understanding of accounting.
Responsibilities:
- Executive Support:
- Provide high-level administrative support to the Chief Administrative Officer.
- Manage and prioritize the CAO's schedule, coordinate meetings, and handle correspondence.
- Prepare and edit documents, reports, and presentations for the CAO.
- Office Management:
- Support day-to-day office operations and ensure a well-organized and efficient work environment.
- Support administrative staff and facilitate effective communication within the administrative team.
- Assist implementing and maintaining office policies and procedures.
- Accounting Support:
- Billing invoices
- Managing Accounts Receivable/collections
- Managing Accounts Payable
- Monitoring timekeeper billable hours and profitability
- Human Resources:
- Act as a liaison between the CAO and HR Company.
- Controlling bi-weekly payroll processes
- Assisting CAO and HR Company with Hiring Processes
Qualifications:
- 4-6 years proven experience as an Executive Assistant or in a similar administrative role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Must have extensive knowledge of Excel for accounting and reporting functions
Preferences:
- Experience with accounting (billing, AR, AP, debits and credits, etc).
- Familiarity with legal firm and administrative processes.
- Savvy in technology and the ability to adapt in to different and new software
Pay
$50,000 - $60,000
