Responsible for providing high-level administrative support for executive leadership to ensure they can efficiently accomplish key tasks and company initiatives. Seeking an experienced, results-oriented administrative professional to play a key part in shaping the success of executive they work with. In this essential role, flexibility and a sharp attention to detail are crucial. This position requires the highest levels of dependability, trustworthiness and a deep understanding of the importance of maintaining confidential information.
Essential functions and responsibilities:
- Manage the executive’s daily calendar, including scheduling meetings, confirming appointments, writing itineraries, and arranging for transportation as well as ensuring that high priority items and sensitive matters are brought to the Executive’s attention in a timely manner
- Keep the executive’s communications organized so that they can easily access the most important information without having to sort through low-priority items.
- Coordinate, organize and schedule meetings and conferences with managers across the organization. Provide any necessary materials or documents and assist with catering when necessary
- Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf.
- Perform minor accounting duties such as assisting with expense report reconciliation
- In the executive’s absence, ensure that requests for action or information are relayed to the appropriate staff member.
- Interpret requests, help implement action, and decide whether the executive should be notified of important, or emergency matters as needed.
