Location: Hybrid (Remote & Hanover, MA ½ day per week) can be 100% Remote.

Ideal Candidate Profile:

Qualifications:

  • 3 years as an Executive Assistant, preferably within a corporate setting. This experience should have provided you with a deep understanding of supporting high-level executives in a fast-paced, professional environment.
  • Demonstrated ability to handle confidential information with utmost discretion, manage complex schedules, coordinate executive communications, and lead administrative projects to completion.
  • Experience in the construction, building, or remodeling industry is an asset, but not mandatory. This background will help you better understand the unique challenges and opportunities our CEO faces.
  • A Bachelor's degree in Business Administration, Communications, or a related field is preferred. Additional certifications relevant to executive administration or project management are highly regarded.
  • Exceptional organizational, time-management, and problem-solving skills. Proficiency in Microsoft Office Suite, project management software, and digital communication tools. Outstanding verbal and written communication abilities are essential.
  • Highly motivated, detail-oriented, and possess a strong work ethic. Ability to work autonomously, exhibit strong decision-making skills, and demonstrate a proactive approach to challenges.

Key Responsibilities:

  • Manage and prioritize all communications for the CEO, including emails, phone calls, and mail.
  • Organize and maintain the CEO’s calendar, ensuring optimal scheduling of meetings, appointments, travel arrangements, and company events.
  • Prepare comprehensive meeting agendas, take detailed minutes, and follow up on action items with relevant stakeholders.
  • Act as a liaison between the CEO and clients, providing timely updates, addressing inquiries, and ensuring a high level of service.
  • Assist in the development and preparation of presentations, reports, and financial documentation.
  • Maintain confidentiality of all sensitive information, demonstrating discretion in all communications and dealings.
  • Collaborate effectively across teams to support project management and operational efficiency.
  • Take on special projects and perform additional duties as necessary to support the CEO and organizational goals.
