Executive Assistant to President's Distinguished Fellow
Job Summary
Rice University's President's Distinguished Fellow (Dr. Ruth Simmons) seeks a part-time executive assistant to support the position and the newly-created office. This position provides complex and diversified administrative support with minimal supervision. The executive assistant anticipates the needs of this position and proactively solves problems and independently handles issues.
This is a part-time position requiring between 20-24 hours per week.
The salary range for this position is $18.85 to 25.00 per hour, depending on experience and qualifications.
Requirements
- HS Diploma or equivalent
- 3 years of relevant work experience
- Demonstrated administrative experience which includes advanced computer skills and demonstrated experience with office software and email applications
- Excellent verbal and written communication skills, including editing and proofreading
- Excellent planning and organizational skills
- Ability to take initiative and ownership of projects
- Demonstrated ability to handle sensitive issues and maintain confidentiality
- Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact
- Ability to multi-task, adapt to changing priorities and meet deadlines
Essential Functions
- Plans and schedules calendar for Dr. Simmons and resolves calendaring conflicts
- Serves as the liaison to various internal and external constituencies, including screening correspondence and telephone calls; keeps the supervisor informed of all matters requiring her attention
- Composes correspondence; develops, reviews, and edits presentations and documentation;
- Manages complex business travel in compliance with unit, university, and sponsor policies
- Manages multiple projects simultaneously
- Coordinates projects and initiatives across a wide scope of on-campus and off-campus partners
- Anticipates and tracks initial dates, events, and associated action items; follows up with appropriate parties on behalf of the supervisor to ensure deadlines are met
- Performs all other duties as assigned
