POSITION SUMMARY

The husband-and-wife owners of a successful, private, construction services company in Southern NJ are looking for a Personal Executive Assistant/Bookkeeper to provide one-on-one support with administrative and personal tasks. The ideal candidate will be a proactive problem solver with exceptional communication and organizational skills and meticulous attention to detail. This person should have experience performing administrative duties, email management, project management and house management. To be successful in this position, you must be tech-savvy and have experience with Microsoft Office, including Word, Excel, PowerPoint, Outlook, as well as QuickBooks. You must be a good listener with strong time-management skills and an ability to prioritize tasks. You must also have a valid driver's license and working vehicle.

RESPONSIBILITIES AND ACCOUNTABILITY

  • Calendar Management.
  • Email Management.
  • Making travel arrangements.
  • Organizing and maintaining various company and personal files.
  • Coordinate projects with contractors, mechanics, handymen, IT, etc.
  • Scheduling appointments.
  • Event planning/management.
  • House Management: groceries, meal prep, tidying, laundry, organization.
  • Childcare (7&9 years): driving to and from activities/appointments, homework help.
  • Pet care.
  • Office help with bookkeeping, receipt organization, scanning and filing.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES (KSA)

  • You must be a good listener with strong time-management skills, attention to details and an ability to proactively prioritize tasks.
  • You must also have a valid driver's license and working vehicle.

  • 1 - 3 years of experience working in a similar role.
  • Excellent communication, problem-solving, and organizational skills.
  • Proficiency in the use of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Strong ability to prioritize and execute tasks and conform to shifting priorities and timelines.
  • Self-motivated team player with the ability to work independently in a fast-paced environment.
  • Ability to be flexible and work with ambiguity.
  • Must be a team player.
  • Eligible to work in the Unites States.

PHYSICAL DEMANDS/WORK ENVIRONMENT

  • While performing the duties of this job, the employee is required to sit for long periods of time, look at a computer monitor for extended periods, use of hands and fingers, and reach with their hands and arms.
  • Stand, sit, stoop, walk, and navigate stairs.
  • Lift or move 30 pounds; move 50 pounds.
