Job Description
The D&TO organization is currently in search of an exceptionally skilled Executive Assistant to provide robust support to our leadership team. The ideal candidate should have extensive administrative assistant skills and an understanding of company policies and procedures, enabling them to handle complex tasks and assignments efficiently. The role demands a comprehensive grasp of both general and technical aspects of the job, with a focus on tackling multifaceted assignments that require substantial judgment, initiative, and specialized knowledge to address challenges and propose effective solutions. The successful candidate will thrive in an environment where they can work independently, completing tasks with minimal supervision. Additionally, they may be tasked with determining methods and procedures for new assignments that lack established protocols.
Primary Duties and Responsibilities
- Responsible for providing exceptional administrative support within the organization.
- Efficiently manage calendars, prioritizing meetings and seamlessly resolving scheduling conflicts.
- Proficient in utilizing Microsoft products, including Outlook, Word, PowerPoint, Excel, MS Teams, SharePoint, and OneNote, as well as Zoom.
- Collaborate closely with Executive Assistants to ensure the smooth operation of all calendars.
- Address all travel-related needs promptly and proactively resolve any arising issues.
- Prepare, reconcile, and submit expense reports with timeliness and precision.
- Work in collaboration with the leader’s Chief of Staff
- Establish a robust network to ensure the timely and accurate completion of tasks.
- Keep leaders informed of time-sensitive and priority issues, ensuring appropriate follow-up.
- Demonstrate a comprehensive understanding and adherence to HP policies and procedures, particularly those related to travel and expenses.

Education and Experience Required
- High school education or equivalent; some college level education highly preferred.
- Typically requires a minimum of 5+ years general administrative experience, or equivalent combination of experience and college level education.
