Responsibilities:
Calendar Management: Efficiently manage the COO's schedule, scheduling meetings, conferences, and ensuring timely attendance.
Communication: Serve as the primary point of contact between the COO and internal/external stakeholders, maintaining professionalism in all interactions.
Document Preparation: Draft, edit, and proofread emails, memos, reports, and other documents, ensuring accuracy and adherence to senior living industry standards.
Meeting Coordination: Coordinate and organize meetings, prepare agendas, take detailed meeting minutes, and follow up on action items to ensure seamless execution of senior living initiatives.
Travel Arrangements: Arrange travel logistics, including flights, accommodations, and transportation, with a focus on providing the COO with efficient and stress-free travel experiences.
Information Management: Handle confidential information with the utmost discretion, managing documentation and correspondence to uphold the highest standards of integrity in the senior living industry.
Project Support: Assist in various senior living projects and initiatives, providing administrative support to contribute to the success of key programs.
Expense Management: Track and reconcile expenses, ensuring compliance with company policies and budgetary guidelines specific to the senior living sector.
Qualifications:
Experience: Proven experience as an Executive Assistant, ideally within the senior living or healthcare industry.
Organizational Skills: Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
Communication: Excellent verbal and written communication skills, demonstrating a high level of professionalism and empathy, essential for working in the senior living environment.
Tech Proficiency: Proficient in Microsoft Office Suite and other relevant software; familiarity with senior living industry software is a plus.
Problem Solving: Ability to anticipate needs, identify issues, and proactively find solutions, aligning with the unique challenges and opportunities in the senior living sector.
Adaptability: Comfortable working in a fast-paced senior living environment with changing priorities and evolving needs.
Confidentiality: Demonstrated ability to handle sensitive information with discretion and confidentiality, critical in the senior living industry.
Education:
