Local established Architectural firm is seeking an Administrative Executive Assistant for immediate hire.
Responsible for various clerical assignments to provide technical and administrative support to relieve the Owner of operational details. Must be a self-starter, team oriented, motivated, positive, dependable, possess quality workmanship and administrative skills, and strive for excellence. Responsibilities:
- Answers telephones, directs calls, takes messages and runs errands.
- Maintain calendars and coordinate conference/meetings
- Prepares meeting agendas, attends meetings and records/transcribes minutes.
- Operates and maintains office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
- Types, formats, proofreads and edits correspondence, reports and other documents.
- Computes, records and proofreads data and other information.
- Maintain and order office supplies
- Maintains and updates filing, mailing and database systems.
- Assist with preparation of marketing and other graphic materials as required.
- Performs other duties as assigned.
Working hours: 8:00 AM - 5:00 PM
Skills:
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office, Google Suite and Adobe Creative.
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask
- High School degree; additional qualification as an administrative assistant or Secretary will be a plus
