- Provide high-level confidential administrative support to the President first and foremost and to the Senior Leadership team as required.
- Handle complex domestic and international travel arrangements specific to the President’s preferences and prepare timely expense reports.
- Manage calendars, schedule meetings, and teleconferences across multiple time zones.
- Arrange & coordinate meetings/events (Board retreats, management dinners, etc.).
- Coordinates productive department and team meetings by collaborating with the President in preparing agendas, minutes, and meeting materials.
- Screen President's emails, archive and professionally compose replies/correspondence on behalf of the President when required.
- Perform research, and prepare reports, presentations, and correspondence on behalf of the President.
- Liaise with the Senior Leadership team on behalf of the President and provide administrative support to other direct reports of the President as needed.
- Interacting with high profile Executives from other global institutions, providing seamless professionalism and delivering customer excellence.
- Perform office management, operations, and facilities duties in a dynamic corporate environment.
- Maintain both paper and extensive electronic filing systems (Outlook, OneNote, SharePoint).
- Liaise with internal staff at all levels on behalf of the President when required.
- 10 years of executive-level support, preferably CEO/C-Suite levels.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly, with excellent attention to detail.
- Willingness to perform office management duties.
- Ability to work in a growing, fast-paced, dynamic environment.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
- Expert-level written and verbal communication skills, including the ability to ask clarifying questions and work with senior management and internal and external clients.
- Strong MS Office skills and exceptional PowerPoint skills required.
- Experience with expense system management required (Concur preferred).
- Proactive approaches to problem-solving and decision-making capability.
