Job Title: Executive Assistant

Job Summary:
The Executive Assistant will provide high-level administrative support to the Chief Executive Officer (CEO), Chief Operating Officer (COO) and Chief Financial Officer (CFO).
Duties/Responsibilities:
- Provides high-level administrative support and assistance to the CEO, COO, CFO and/or other assigned leadership staff.
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the hospital.
- Performs clerical and administrative tasks including drafting letters, agendas, memos, invoices, reports, and other documents in support of objectives for the hospital.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the officers are involved with.
- Arrange travel and accommodation for officers. Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours.
- Organize complex calendars and schedules, resolving any scheduling issues.
- Schedules and attends meetings on behalf of officers, as needed, taking notes and recording minutes.
- Conserve the officer’s time by reading, researching, collecting and analyzing information as needed, in advance.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
- Performs other related duties as assigned.

- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- Able to type a minimum of 50 words per minute.
- Flexible hours as dictated by the needs of business for projects and meetings.
Education and Experience:
- High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
- At least three years of related experience required.

Pay: $45,000.00 - $54,000.00 per year
