POSITION: Executive Secretary (ES)

SUMMARY/GENERAL DESCRIPTION OF RESPONSIBILITIES:
The Administrative Assistant will support a variety of NGA offices not requiring the higher labor category of Executive Assistant. The Administrative Assistant independently accomplishes more of the general or routine office administrative tasks. The Administrative Assistant should have the expertise and qualifications to accomplish moderately complex administrative tasks with minimal guidance and assistance. Depending on the customer office, some tasks can be more dynamic (i.e., less routine) and more challenging than other tasks. Provide professional and proactive mission-oriented administrative support to assigned customer office. Active security clearance is required!
MINIMUM REQUIRED SKILLS & QUALIFICATIONS:
- Prior experience as an administrative assistant administratively supporting lower-to-mid management levels of an office.
- Proven experience as an administrative assistant supporting routine administrative requirements.
- Capable of handling moderate workloads effectively coordinating with multiple resources, and multitask in a fast-paced environment that may often have competing priorities with minimal assistance.
- Strong communication skills both verbally and written.
- Create workbooks (e.g., read-ahead, staffing, continuity, standard operating procedures) for leadership planning and/or to support execution of leadership responsibilities and office administrative business rhythms.
JOB REQUIREMENTS (Education, Experience & Professional):
Mandatory
- Must possess an active Top Secret/Sensitive Compartmented Information (TS/SCI) security clearance.
- Excellent communication skills, both oral and written.
- Ability to work well with all levels of staff in a professional and courteous manner.
- Strong working knowledge and experience with Microsoft Office Suite
- Strong working knowledge of the electronic mail software – Microsoft Outlook.
- Ability to work independently and/or in a team environment.
Preferred
- Prior DOD and/or NGA experience working in a related field.
- Prior experience working with the military and understanding of the military services.
- Proficient working knowledge of the following corporate applications:
o PeopleSoft
o Defense Travel System (DTS) with knowledge of the Federal Travel Regulation (FTR)
and Joint Travel Regulation (JTR)
o NGA Central Electronic Routing and Tasking System (N-CERTS)
o SharePoint
- Possesses a working knowledge of the NGA internal coordination and approval processes.
- Working knowledge of Access database
- Proficient with NGA correspondence manual
- Working knowledge of NGA’s Records Management requirements
- A working-level understanding of NGA corporate processes
- Prior schedule, coordinate, set-up, and operate Video Teleconference (VTC) equipment; and this includes teleconferences.
Minimum Education and Work Experience:
- Bachelor’s Degree in General Business Administration with a minimum of 2 years’ administrative experience, or
- Associate’s Degree in General Business Administration with a minimum of 4 years’ administrative experience, or
- High School Diploma with a minimum of 6 years’ administrative experience
Minimum Knowledge/Skills/Qualifications
- Must have an active TS/SCI security clearance.
- Proven experience in the secretary profession directly supporting an office environment with senior leadership personnel serving in the grades of SES / DISL or at the Flag Officer level.
- Strong foundational knowledge and understanding of the Department of Defense (DoD) and Intelligence Community (IC).
- Professionalism with the ability to consistently demonstrate tact and maturity in all situations.
- Strong interpersonal and/or soft skills, and office etiquette

Pay: $85,000.00 - $90,000.00 per year
