- Work directly with the Executive team to support all aspects of their daily schedule inclusive of communication management. (phone calls, emails, and written communication).
- Manage internal calendars, conference registration, and travel arrangements.
- Collaborate with credit union staff as needed to play a key role in the coordination of projects both in and out of the administrative division.
- Assist in the development of presentations and white papers for internal and external audiences.
- Determine the priority of items needing executive attention and ensure appropriate follow-up while delegating to additional team members for support. Some items may be handled personally as appropriate.
- Prepare, reconcile, and submit expense reports.
- Routinely perform a wide variety of administrative duties as requested by leadership.
- Maintain paper and electronic filing systems.
- Maintain confidential and sensitive information.
- Additional tasks may be as assigned periodically. This position may also provide support to other departments as needed.
- Cultivates strong working relationships and builds trust among team members.
- Prepare, distribute, and file meeting material such as agendas and supporting documents.
- Take and finalize minutes for committee meetings.
- High school diploma or equivalent required (Bachelor's degree preferred).
- 8+ years administrative experience
- 5+ years direct experience supporting staff at the senior executive level
- High level proficiency with Microsoft Office including Word, Excel, PowerPoint, and Outlook
- Intermediate to advanced writing, editing, and proofreading skills
- Excellent knowledge and understanding of Credit Union products, services, policies, and procedures pertinent to the job
- Excellent knowledge and understanding of regulatory compliance necessary to successfully perform job responsibilities
- Ability to prioritize tasks by effectively managing competing and changing priorities while adhering to deadlines
- Proficient decision making skills to resolve non-routine problems that require analytical skills
- Accurate, detail-oriented, and organized with task management
- Ability to handle highly sensitive and confidential information
