Job Description:
Seeking an Executive Assistant to report to and work directly with the CEO of a property management company located in Miami, Florida, (Kendall area) to provide executive support in a one-on-one working relationship. Candidate should be innovative, dynamic, proactive, self-taught, with goals of achievement and a team player. The Executive Assistant will serve as the primary point of contact on all matters pertaining to the office of the CEO. The Executive Assistant also serves as a liaison between the properties and management teams throughout the state of Florida.
The Executive Assistant must be motivated and take initiative, can anticipate problems and be able to propose solutions, exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, organizational skills, and the ability to maintain a realistic balance among multiple priorities to manage time efficiently. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Responsibilities:
· Provide a high level of confidential executive and personal support to the CEO.
· Draft correspondence and other formal documents relating to the department and the properties.
· Maintain and update company policies and procedures for management and maintenance personnel.
· Screen telephone calls and visitors and resolve routine and complex inquiries. Handle incoming calls for the CEO.
· Schedule and maintain calendar of appointments, meetings, and travel itineraries, and coordinate related arrangements.
· Monthly reconciliations for credit cards.
· Assist/coordinate with executive management meetings, conferences, conference calls and other types of meetings.
· Prepare weekly, monthly, quarterly, and annual reports.
· Establish, develop, maintain, and update filing system. Retrieve information from files when needed.
· Act as a liaison with other departments and outside agencies. Handle confidential information and explain policies when necessary.
· Supervise employees working within the operations department and front office along with maintaining and ensuring the responsibilities within the department are completed.
· Assist with special projects or events.
Qualifications:
· Previous experience working with Executives or in similar positions.
· Ability to work in a fast-paced environment, prioritize and multitask.
· Excellent written and verbal communication skills.
· Strong attention to detail and organizational skills.
· Proficient in Microsoft Word, Excel, Publisher, and Power Point.
· Possess professional appearance.
