We have an immediate opening for a Executive Assistant in our downtown Austin office. This position will provide heavy administrative support, including calendar management and client communications, for the Partner-in-Charge and assist 1-2 Associates with clerical tasks. Previous experience in a professional legal environment is preferred.
Basic Function
Primarily responsible for managing schedule and communications for the Partner-in-Charge. Manages attorney calendar, scheduling client calls and meetings, while reserving time for preparation and focused work. Reminds attorney of upcoming commitments and redirects attention to pressing matters as needed. Serves as gatekeeper to minimize attorney interruptions and prioritizes emails and phone calls. Responds to all client communications expeditiously in a thoughtful and professional manner. Manages client expectations through proactive communication and transparency. Monitors active projects, assists with document organization, and ensures client materials are prepared and delivered within expected timeframes. Supports non-billable activities, including entering attorney time and monitoring continuing education requirements.
Education
High school diploma or equivalent required. Associate or bachelor’s degree preferred.

Required Experience
- Worked as an Executive Assistant in a professional setting serving sophisticated clients.
- Operated in a fast-paced office environment where organization is a must.
- Communicated effectively through speaking, writing, listening, and responding to others.
- Prepared professional correspondence using appropriate vocabulary, grammar, and punctuation.
- Utilized Microsoft Office Suite, including Word and Outlook, at an intermediate level.
- Exhibited customer service skills and managed client expectations appropriately.
- Used time effectively and prioritized job duties to meet deadlines.
- Displayed a sense of urgency and was responsive to the needs of clients and coworkers.
- Exhibited strong analytical and problem-solving skills, along with attention to detail.
- Maintained confidentiality and exercised discretion and good judgment.
Preferred Experience
- Worked 3-5 years plus as an Executive Assistant in a professional setting.
- Supported 2-3 attorneys in a legal setting.
Job Type: Full-time
Pay: $32.00 - $36.00 per hour
Expected hours: 40 – 45 per week
