Hi there, thanks for stopping by.
What follows is a bit lengthy but will give you a better idea of what we do, what a person in this role would do and how we work. Our only request is that you please read it all carefully to ensure the role is truly a fit before applying.
_________________________________
Work ethic is about showing up, being on time, being reliable, doing what you say you're going to do, being trustworthy, putting in a fair day's work, respecting the work, respecting the customer, respecting the organization, respecting co-workers, not wasting time, not making work hard for other people, not creating unnecessary work for other people, not being a bottleneck, not faking work. Work ethic is about being a fundamentally good person that others can count on and enjoy working with.
–Jason Fried, Founder & CEO at Basecamp
_________________________________
As a team, we strongly believe in work ethic as explained in the above quote and consider it the basis of how every successful surefooter will operate.
What we do
We're a boutique growth agency that gives a damn about our work, our clients, our people, and doing the right thing. We specialize in:
- user experience research and design
- full-service a/b testing and personalization (aka conversion rate optimization)
- data analytics
Executive Assistant role and requirements
As an Executive Assistant at surefoot, your daily interactions will mostly consist of conversations with our co-founder Brian. surefoot is 7 years strong but still very much a growing startup, so we'll look to you to wear a number of hats. Think of yourself as the person who will help keep the wheels on the bus through organization, efficiency and planning.
Tasks you may find yourself doing in this role include:
- setting up surefoot as a foreign corp in new states we hire in
- writing initial job postings and helping with recruiting
- scheduling calls, travel and appointments for our team
- updating onboarding documentation, handbook, etc. to keep current
- scheduling team and culture events
- compiling client/employee satisfaction surveys
- coordinating client and team holiday gifts
- planning team all-hands
- town hall agenda prep and planning
- …and more!
You'll be successful in this role if you:
- Are detail-oriented AF. If you see a grammatical error in this post, you'll have a hard time not pointing it out.
- Feel a visceral reaction to poor/lack of organization. You probably have your closet organized by color.
- Find purpose and pride in helping the team win. You weren't the star player written up in the local paper every weekend. You were the hard-working, heads-down defensive player ensuring the ball never made it close to the goal (more “guts over glory”-type personality).
- Are conversational, friendly and able to talk to most anyone without hesitation (but you exercise good judgement if someone drives by in a white van and offers you free candy).
- Enjoy siloed remote work with a social component.
- Enjoy making decisions and can confidently do so without hand-holding or regular direction.
- Subscribe to the theory that variety is the spice of life and enjoy using both sides of your brain to tackle many different types of projects in a day.
must-haves
- Live in the West Palm Beach, Florida area. The work is mostly remote, but occasional tasks will require you to be in downtown West Palm.
- 2+ years of professional experience as an operations manager, Executive Assistant, chief of staff or similar.
- Experience with software like Asana and Quickbooks Online, and a general tech savvy / ability to independently and quickly learn new tools and platforms.
- Experience building Google Slides presentations
- High “give a damn” factor – you care about the quality of your work and do what you say you're going to do.
- High emotional intelligence.
nice-to-haves
- Experience with tools like Gusto, Slack, and working with state employment agencies, HR related tasks, etc.
- Hobbies outside of work
- Funny GIF library, good emoji usage, sense of humor
Hours and pay
The position is 1099 Contract and open to U.S.-based applicants only. No Visa sponsorship is provided.
It will be about 5-10 hours/week and you must be available M-F for a few 'working hours' between 10-4 EST each day.
The hourly rate is $25-$35/hr, depending on experience.
Ready to apply?
Great, we're looking forward to meeting you! To get the ball rolling, please submit your application and include:
- your resume (required)
- any additional materials like a cover letter or work samples (optional)
- your responses to this application exercise (https://docs.google.com/document/d/1KFAME-I3VT87m03aqpuADDYiR4vwKM8DZK7UES0pH2k/edit#heading=h.b4camjxb4jpp) (required)
We know, we know. Doing “free work” sucks. But we receive a TON of applications for this position, so this application exercise helps us screen candidates and save everyone time. Plus, it really allows us to get a sense for your personality and who you are beyond the words on your resume. And you'll be happy to know that if you make it past this initial stage, we eventually do a more in-depth “paid interview” to make up for it!
We're a small shop and don't have an HR department, so the founder is the one doing the hiring around here. As a result, it's very costly and time-consuming for us to take hundreds of calls per week to baseline screen applicants. Thanks for giving us some grace on this - it's one of the downsides of being a small shop!
What to expect after you apply
If you are selected to proceed in the process, you'll move on to phase two which involves a Zoom video call or two to get to know one another a bit better. If we're feeling good about that, we'll contact your references.
And finally, if your references check out and confirm you're not a stabber, we'll ask you to do some actual paid work with us to determine fit for both parties.
In closing
We understand that applying to jobs is a lot of work and that it's a bummer to never hear back - we've been there, too. That's why we try to respond to every applicant, even if it's a “no”. We value feedback and appreciate those who ask for it but we can't always provide a reason for every decision.
Per the above about not having an HR department, this is one of the tradeoffs we have to make. But rest assured we give careful consideration to every applicant because building a world class team is of utmost importance to us.
