Starting Salary/Pay: $21.60 per hour
Hours: Monday - Friday 7:30 a.m.-4:00 p.m., Full Time, 12 months
JOB SUMMARY: Provide clerical support to the Assistant Superintendents and CFO in a manner that is professional, diplomatic, and complies with confidentiality requirements. Full-time, twelve (12) month, 260 day position.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Perform clerical duties including but not limited to preparing and distributing communications and correspondence; manage and coordinate mail for the designated executive; prepare purchase orders; manage and screen phone communications for the designated executive; coordinate calendar and scheduling for the designated executive; prepare reports and documents for regulatory agencies; maintain electronic and hard copy files; and maintain confidential personnel, student, and business office files.
- Prepare advertisements and recruitment materials for professional employment opportunities; schedule interviews, prepare application and rating form for applicants, follow up with a regret letter. Maintain in-service records to ensure teachers are fulfilling their requirements.
- Prepare school board agenda items to include new hires, change in status, long-term substitutes, leaves (sabbatical, family medical, child rearing), resignations and retirements.
- Prepare correspondence to mentors and newly hired professional employees. Maintain and submit mentor/mentee information for school board approval and distribution to Penn Manor Education Association.
- Maintain attendance records of newly hired professional employees and issue certificates for completion of New Teacher Induction program. Distribute change in status to district office personnel, technology department and Penn Manor Education Association for updating of their files.
- Maintain employee records that include employee evaluations, instructional support plans and documents pertaining to professional status.
- Maintain records of volunteers and ensure compliance with necessary paperwork.
- Prepare semi-annual and annual evaluation of all professional employees.
- Maintain all records related to professional employee orientation, professional training, Act 48, in-service, differentiated supervision, evaluations & Act 126 documents.
- Schedule and prepare documentation related to the assignment of student teachers.
- Maintain and prepare documentation related to the Outstanding Employee/Educator program.
- Maintain records and prepare documentation related to new textbook requests and submission for board approval.
- Prepare requisitions for the Assistant Superintendents and CFO as required.
- Will be the primary back-up for the district office receptionist.
- Perform other duties as assigned by the Assistant Superintendents and CFO.
- High school diploma or equivalent is required.
- Experience in executive secretarial roles, specific training in the use of technology for administrative functions, proven reliability and confidentiality, training in office procedures and knowledge of school district procedure
- Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code)
- Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code)
- Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994
- Submission of Federal Criminal History Record in accordance with Act 114 of 2006
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable
- Ability to reach above and below the waist
