Job description

The Program Operations Coordinator will support the Chief Program Officer (CPO), the Programs Chief of Staff (PCoS) and the Programs team to assist with the development, enhancement, implementation, and continuous improvement of the Programs Division. This position implements administrative processes that support the CPO, PCoS, and the Programs’ Senior Leadership Team. Provides high-level, complex administrative work that requires confidentiality, discretion and judgment supporting the CPO, PCoS, and the Programs Division Senior Leadership. Responsible for effective and efficient support of the Chief Program Officer’s activities based on a thorough understanding of priorities, and internal and external relationships.


Depending on the needs of the division, the position may require travel to JEVS sites in the Northeast, elsewhere in the region, and in Center City to facilitate meetings hosted by the Division. Based on these needs, the position can be hybrid, but dates may fluctuate from 3 to 5 days a week on site.

Responsibilities

Administrative:

  • Management of the Chief Program Officer’s busy calendar and meeting schedule, exercising considerable independent judgment about multiple demands on the CPO’s time.
  • Coordinate cross-departmental and external stakeholder meetings to support the activities of the Programs Division.
  • Act as liaison to coordinate and confirm itineraries and communicate the information to all necessary parties including coordinating with the executive assistants of JEVS’ leadership team.
  • Manage all travel related arrangements and event registrations for the CPO and PCoS, and Programs Division and provide monthly reconciliation of expenses.
  • Assist with drafting agendas, take meeting notes and transcribe when needed, compile background materials and folders for meetings in a timely manner.

Project Management:

  • Support special projects, meetings and events as assigned by PCoS.
  • Independently prepare a wide range of documents, which may include sophisticated presentations, research, data compilation, analysis, and other necessary information, as well as coordination with team members.
  • Draft letters, emails and other communications for the Chief Program Officer.


Skills & Other Requirements

  • Associate or bachelor’s degree preferred.
  • Five years' experience in a project management and/or administrative position, preferably in a not-for-profit.
  • Advanced skills with Microsoft Office suite, especially Power Point and Excel and ability to learn and use new technologies and systems that help advance organizational goals
  • Organized and able to prioritize and remain composed in a high volume fast-paced environment.

The base pay for this position ranges from $58,000 to $72,000 and will vary based on factors such as skills and experience. Base pay is one part of the Total Compensation that JEVS Human Services provides to recognize employees for their work. Preferred Education and Experience:

  • Associate or bachelor’s degree preferred.
  • Passion for working in a non-profit organization
  • Gathering, synthesizing and editing information from various sources utilizing PowerPoint, Canva and/or word
  • Demonstrate experience preparing presentations
  • Administration – calendar management, meeting planning and preparation (including room setup, catering etc.)
  • Working with senior executives and/or board members
  • Managing complex projects with minimal direction
  • Managing multiple time sensitive projects with a high attention to detail
  • Commitment to JEVS mission
