Job description

Job Summary:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, strong project coordination abilities, and the ability to handle multiple tasks simultaneously. As an Executive Administrative Assistant, you will provide administrative support to our executive team and ensure the smooth operation of our team.

Responsibilities:

  • Managing accounts payable and accounts receivable processes.
  • Handling payroll tasks and ensuring accurate and timely payments.
  • Assisting in budget preparation and tracking expenses.
  • Performing general accounting tasks such as data entry, reconciliations, and financial reporting
  • Answer and screen phone calls with professionalism and excellent phone etiquette
  • Prepare and transcribe meeting minutes, memos, and other documents
  • Coordinate travel arrangements and itineraries
  • Assist with project coordination by tracking deadlines, deliverables, and progress
  • Greet visitors and direct them to the appropriate personnel
  • Handle incoming and outgoing mail, packages, and deliveries
  • Utilize software such as Outlook Calendar, DocuSign, Google Suite for scheduling, document management, and communication purposes
  • Perform general clerical duties including photocopying, scanning, filing, and data entry
  • Assist with office management tasks such as ordering supplies and maintaining inventory
  • Proofread documents for accuracy and completeness

Experience:
- Proven experience as an Administrative Assistant or executive assistant
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Xactimate)
- Familiarity with office equipment such as printers, copiers, and scanners
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional attention to detail and accuracy in all work performed
- Ability to handle sensitive information with confidentiality and discretion
- Strong written and verbal communication skills
