The Executive Administrative Assistant will perform a wide range of administrative tasks and support our company's senior-level managers in facilitating the efficient operation of the organization.
The Executive Administrative Assistant is responsible for proficiently planning, prioritizing, and executing tasks within established timelines. They must demonstrate strong relationship-building skills, fostering connections both internally and externally. The ideal candidate possesses an approachable and respectful demeanor, coupled with a comfort level in adopting new technology, virtual meeting platforms, and scheduling systems. Given the prevailing culture of ownership and accountability within JL Smith, the successful candidate should be proactive in making administrative decisions and taking initiative when required.
Key Responsibilities:
- Efficiently manage the Partner and COO’s appointment schedule by planning and scheduling business and personal meetings, conferences, teleconferences, and coordinating travel arrangements.
- Assist the Partner and COO with daily administrative duties, including completing expense reports, composing and preparing correspondence, and organizing complex travel plans, itineraries, and agendas.
- Support the Partner and COO in preparing for meetings by handling meeting materials, tracking progress, following up on action items, and preparing or revising correspondence and other documents as needed.
- Partner with Leadership Team (LT) for various reports, data, information, and requests on behalf of Partner and COO
- Work closely and effectively with the Partner and COO to keep them well-informed of upcoming commitments and responsibilities, following up appropriately.
- Serve as the primary contact for the company, establishing rapport with employees, clients, visitors, and other guests.
- Answer and direct telephone calls, relay important information promptly and maintain confidentiality as needed.
- Notify the Partner and COO of important dates such as employee birthdays and anniversaries.
- Support in coordination of various company meetings, events, and celebrations.
- Receive and sort daily mail, file documents accordingly, and manage sensitive matters with a high level of confidentiality.
- Be easily accessible for after-hour travel, scheduling, and other requirements.
- Handle deliveries, run errands, and provide support for both the business and personal needs of the CEO.
- Handle confidential information with sound judgement.
- Special projects and tasks as assigned
Required skills and Qualifications:
- Bachelor's Degree preferred
- A minimum of 3 years office experience
- Must be proficient with Microsoft Office, Word, and Excel
- Highly organized and self-motivated
- Exceptional writing, editing, and proofreading skills
- Excellent organization and time-management skills
- Detail-oriented and good time management skills and ability to prioritize work
- Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment.
- Familiarity with financial/wealth management industry is a plus
