As an Administrative Assistant, you will oversee day-to-day office operations and be responsible for supporting the areas of Accounting, Operations, Sales, Receiving, Shipping, Purchasing, Project Management, and Inventory Control as well as providing executive assistant-level support for the CEO. Other Job Responsibilities will include:
- Receiving, Packing, & Shipping of parts as needed.
- Maintenance of a Web-Based Reporting & Inventory Management System (AssetCaster)
- Completion of Purchase Orders
- Completion of Daily, Weekly, & Monthly reports
- Completion of Special Inventory Management Projects
- Scanning of Inventory Received Parts as needed.
- Answering the main phone line, route calls appropriately, and greet guests.
- Coordinate and stock physical facilities; kitchen/break areas, equipment and office supplies, and serve as main point of contact for office maintenance and related issues
- Entering data into programs such as excel, Asset Caster, and other internet sites
- Perform other duties as assigned.
Qualifications you need to have:
- Intermediate to advanced-level knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Internet and technology savvy; must be capable of quickly learning and utilizing multiple databases and websites and performing online research.
- Knowledge of clerical and administrative procedures and systems such as filing, record keeping, e-mail, & management of documents and records.
- Excellent interpersonal, customer service and communication skills.
- Strong work ethic, ability to multitask and adjust to changing schedules and priorities with ease.
- Excellent organizational skills, attention to quality and ability to maintain confidentiality.
- Possess a professional presence suitable for direct client interaction by telephone or in-person.
