About the role
DNV's Healthcare Division is seeking to fill the role ofExecutive Administrative Assistant.
This position can be remote from anywhere in the Continental U.S.
What You'll Do
- This position will report to the DNV Healthcare CEO/President.
- Maintains physical and digital filing systems.
- Assist with general administrative duties and respond to communications in a timely fashion.
- Coordinate and participate in regularly scheduled meetings as directed which includes, but is not limited to, weekly, bi-weekly, and/or monthly conference calls, in-person DNV meetings and document & transcribe meeting minutes.
- Track action items & deadlines with Microsoft data base.
- Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs and assist clients.
- Responds to emails and other digital queries and correspondence.
- Drafts and edits letters, reports, and other documents.
- Inputs and updates information in databases and spreadsheets.
- Uses word processing and presentation software to create and edit documents.
- Researches as requested and compiles and summarizes information for reports or presentations.
- Works closely with other administrative staff and supports other colleagues as needed.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Ensures that deadlines are met and adapts to changing priorities.
- Presents a positive and professional image for the organization.
- Be open to learning to navigate and work with internal processes which may include, but is not limited to, Concert, SharePoint, Scheduler, Oracle Recruitment Cloud, Webinar Presentations, and others.
- Assist with the coordination of the travel arrangements.
- Coordinate all aspects of parcels including but not limited to FedEx, UPS, USPS, and DHL.
- Assist DNV Internal Departments with event coordination as needed / requested.
- Adhere to Health, Safety, and Environment (HSE) guidelines as designated by DNV Healthcare.
- Inform appropriate administrator of any work that cannot be performed within the agreed timeframe, or in accordance with agreed requirements and/or financial guidelines.
- Ensure the appropriate administrator is immediately notified of any serious issues that may impact the overall operation of DNV Healthcare.
- Other duties as assigned.

As required by the Pay Transparency laws in Colorado, New York City, California, and Washington, DNV provides a reasonable range of compensation for roles that may be hired in those locations. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location. For the state of Colorado, New York City, NY, California, and Washington only, the range of starting pay for this role is $60000 - $75000.
About you
What is Required:
- Associate Degree from an accredited institution and 5 years past administrative experience or tenure in an office setting.
- Certified Administrative Professional (CAP) or Microsoft Office Specialist (MOS) certification a plus.
- Proficientwith standard office platforms, such as Microsoft Office.
- Data management and entry skills, including the ability to maintain and improve filing systems.
- Excellent communication skills including verbal and written communication skills.
- Attention to detail and problem-solving skills.
- Aptitude for learning new software and systems.
- Strong time-management skills and multitasking ability.
- Experience and understanding with managing budgets.
- Ability to work well independently and in collaboration with others.
- Strong conflict management and problem-solving skills; ability to maintain confidentiality.
- Ability to prioritize and organize workload, adapt to changes/demands, conduct research as needed, and accountable to deadlines.
- Travel up to 10% domestically.
- We conduct a pre-employment background check and drug screen.
Physical Abilities:
- Willing and able to walk and stand for long periods of time, walking lengthy distances, lifting, climbing, stooping, pushing, and pulling.
- Able to lift and carry up to 25 lbs., in addition to transporting one’s own luggage and computer for multiple-day travel and push, pull, reach, bend, twist, stoop and kneel with that which is lifted, carried, or transported.
- Able to maneuver through airport settings and all other traveling requirements.
