DESCRIPTION:
First Financial Group is searching for an Executive Assistant/Administrative Assistant to join our offices in Dublin, OH on a HYBRID work schedule. Our location is growing and is looking to hire a dedicated Executive Assistant/Administrative Assistant to provide overall support to our team of Financial Advisors by ensuring all office functions and procedures are performed daily. The ideal candidate should be highly responsive when interacting with clients and guiding them through specific processes. This Executive Assistant/Administrative Assistant position will require someone who is extremely trustworthy as they will handle confidential client information, maintain a high level of professionalism, and make building solid business relationships a priority. The role calls for someone who takes initiative on projects, requires minimal supervision, has a high stress tolerance, and is consistent in their job performance.
Responsibilities*:
- Greeting clients and other visitors with a consistent welcoming and friendly demeanor.
- Answering and directing phone calls, taking messages, monitoring voicemails, and responding to inquiries.
- Checking office mailbox, opening incoming mail and managing routine client correspondence in a timely fashion.
- Overseeing calendars, scheduling appointments, and coordinating meetings.
- Monitoring emails and responding promptly.
- Assisting clients with new business and investment applications by gathering information, making sure appropriate paperwork is filled out and signed correctly.
- Managing routine client service requests and contacting appropriate departments for resolution to questions.
- Checking firm’s CRM platform for alerts, maintaining client files, recording activities, and running appropriate reports/spreadsheets.
- Scheduling client calls and in-person meetings to discuss accounts in detail.
- Preparing reports for client meetings and following up for additional tasks.
- Maintaining client files, electronic and paper, in a confidential and compliant manner.
- Performing other duties, including special projects, as assigned.

EXPERIENCE:
- 2+ years of Executive Assistant or Administrative Assistant experience in a professional/corporate office setting required; wealth management, financial planning or Financial Services experience preferred.
- High school Diploma or equivalent; Associate or Bachelor degree preferred.
- Computer proficiency with working knowledge of Microsoft Office 365 (Word, Excel, Outlook).
- Ability to work within a CRM database system and maintain proper client records.
- Excellent verbal and written communication skills
- Strong organizational skills with ability to multitask, including planning, prioritizing, and overseeing concurrent projects.
- Excellent customer service skills while maintaining discretion and confidentiality.
- Overall willingness to create a professional and positive office experience.
COMPENSATION & BENEFITS:
- Compensation: Base Salary (commensurate with experience - starting at $50K) + Bonuses.

- Reports To: Managing Partner of Office Location.
