We are seeking an Executive Administrative Assistant to support our Columbus-based Consumer & Business Banking Finance leadership teams with a variety of administrative tasks and key projects across various executive level internal partners. This role will report to the Chief Financial Officer for Consumer Banking Product, Segments and Technology, and is based in Columbus, OH.
The Executive Administrative Assistant responsibilities require exercising strict confidentiality, initiative management, independent thinking, sound decision-making, as well as be driven to make a valuable impact to JPMorgan Chase. The successful candidate will possess strong attention to detail, quality focus, high energy, a positive and collaborative attitude, and flexibility in a high-paced and driven organization. This individual will need to work well in a team environment and act with utmost professional courtesy and maturity.
Job Responsibilities:
- Manage organization and prioritization of complex and detailed calendars, inclusive of the coordination and logistics of both internal and external meetings
- Arrange and coordinate travel
- Expense Management: process invoices and Travel & Expense claims strictly adhering to firm policies and given timelines; act as a subject matter expert for policies and procedures
- Organize all planning & executing components for events, including catering, transportation, and technology
- Assist with staff onboarding and off-boarding, including equipment requests and setup, technology access management, and system and building access
- Lead and coordinate in ad hoc projects as requested [e.g. editing presentations and spreadsheets, printing and distributing meeting materials (email/Boardroom), maintain team organizational charts and coordinate department communications]
Required Qualifications, Capabilities and Skills:
- At least 5 years of administrative experience ideally supporting at the Managing Director level (or equivalent) or above
- Tact and good judgment in confidential situations and proven experience interacting with senior management
- Effective interpersonal skills
- Work cooperatively with wider Administrative Assistants team, in positive partnership to back up each other smoothly
- Superior oral and written communication skills
- Produce high quality emails and messages to individuals and teams at all levels of the organization with strong attention to detail
- Ability to manage competing priorities (e.g. calendar management)
- Handle regular activities without prompting, and proactively advise in advance on issues or delays with potential solutions
- Strong PC skills (proficient knowledge of MS Outlook, Word, PowerPoint & Excel, Zoom, Access Request tools, Event Management tools)
- College degree a plus or equivalent experience
