```Job Overview:
Sudofy.Me is accepting applications for an Executive Administrative Assistant. This individual will be responsible for providing support primarily to the company Executive and to the company senior leadership as needed. The Executive Assistant will be responsible for managing and ensuring daily office functions run smoothly and in compliance with company standards and policies and legal regulations. This is a vital role that requires excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously.

Duties:

-Manage executive calendars, schedule appointments, and coordinate meetings
- Prepare and distribute correspondence, memos, reports, and presentations
- Assist with document management, including drafting and editing documents using software such as Microsoft Word and Excel

- Handle sensitive and confidential information with discretion
- Conduct research and compile data for various projects
- Coordinate travel arrangements and accommodations for executives
- Assist with event planning and coordination
- Perform general clerical duties, including filing, photocopying, and scanning documents
- Answer phone calls and direct inquiries to the appropriate person or department
- Greet visitors and provide exceptional customer service
- Maintain office supplies and ensure the office is well-stocked

-Office management needs as required such as office supply stocking and restocking a needed

Requirements:

-5 - 7 years experience in fast-paced work environments

-Ability and availability to commmunicate and perform facilitation type tasks early evenings as needed for executive leadership during critical project cycles

-Excellent verbal and written communication skills and ability to interface effectively with all levels of team members, clients, vendors, and visitors.

-Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

-Excellent organizational skills and attention to detail.

-Strong management skills with ability to prioritize and re-prioritize as needed, proactively managing numerous projects and prioritize competing deadlines with minimal supervision.

- Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality.

-Maintain in-depth understanding of office management procedures, benefits, and legal policies and serve as liaison for addressing and resolving internal and external inquiries with minimal guidance.

-Support senior leadership in creating job postings via approved platforms and manage end-to-end hiring process including onboarding of new hires.

-Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.

-Ensure smooth and efficient daily office operations including monitoring and ordering office stock and supplies, coordinating with building services to address needed services, etc.

-Comprehensive administrative support including managing schedules, coordinating meetings, and making travel arrangements with efficiency, accuracy, and reasonableness.

-Proactive management and maintenance of executives’ calendars, scheduling appointments, meetings, and conference calls.

-Serve as primary point of contact for internal and external communications, screening and directing inquiries as appropriate.

-Plan and organize meetings including preparation of agendas, coordinating logistics, and recording meeting minutes.

-Prepare and edit correspondence, presentations, reports, and other reports as requested.

-Manage company purchases by processing purchase requests, placing purchase orders, and compiling and submitting monthly company expense reports with invoices and receipts to accounting team.

-Conduct research and compile data for consideration and presentation to Executive as needed.

-Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with Adobe Suite and payroll and benefits systems is preferred
- Excellent typing skills with a high level of accuracy
- Strong organizational skills with the ability to prioritize tasks effectively
- Exceptional attention to detail and problem-solving abilities
- Excellent written and verbal communication skills
- Professional phone etiquette and customer service skills
- Ability to maintain confidentiality of sensitive information
- Strong computer literacy with the ability to learn new software quickly

-Able to work occasional overtime with some weekend work possible

-Able to be drug screened and pass background check

-Perform other duties as assigned.
