Work Arrangement
This role is categorized as hybrid. This means the successful candidate is expected to report to the GM Global Public Policy office in Washington, D.C. three times per week, at minimum.
The Role
This position will provide administrative support the Public Policy team in navigating through shifting priorities, enabling the Vice President of Global Regulatory Affairs and Directors meet the organizations goals. Position requires a high degree of accuracy and coordination – both within the Public Policy and across the company.
This role requires a high degree of accuracy, coordination, collaboration to manage a include broad scope of tasks and responsibilities. These include schedule and calendar management, meeting agendas, staff communications, coordination of travel, expenses, and events. A successful candidate for this position will be someone who has consistent attention to detail, robust organization and reasoning skills, outstanding communication skills, the ability to handle all responsibilities in a discreet and efficient manner, and expert level use of MS Office products.
What You’ll Do (Responsibilities)
Schedule complex meetings and maintain multiple calendars
Coordinate and schedule domestic and international meetings
Support travel arrangements, Visa, Passport, and associated expense reporting
Conserve executive time by assuming administrative details
Handle global correspondence, email, and phone calls
When appropriate, respond to global email requests on behalf of VP Regulatory Affairs and direct leadership team (e.g., RSVP to invitations, coordinate meetings, provide bios, executive photos, maps/directions, etc.)
Support the development of various PowerPoint presentations, written reports, letters, etc.
Complete various ad hoc assignments as requested with minimal supervision
Maintain electronic filing system, records, confidential files, and GM specific reports
Manage team’s completion of required corporate training and other programs (ILM)
IT / Cell phone / Phone / Conference Call assistance
Additional Description
Your Skills & Abilities (Required Qualifications)
High School diploma or equivalent is required
7+ years of experience as an executive assistant supporting Senior Management / Executives
Experience managing domestic and international travel itineraries, travel arrangements, and expense tracking
Excellent organizational skills with an ability to think proactively and prioritize work
Demonstrated ability to work independently and collaboratively on projects in a fast-paced environment and must be able to work under pressure
Strong written and oral communication skills
Problem solving using independent thought and decisiveness
Advanced level of proficiency in Microsoft Office (MS Suite, scheduling, internet, Outlook, and knowledge of SharePoint)
High level of integrity
