The role of Events Coordinator is to support the Marketing & Events Manager and the Director of Marketing & Events Communications by effectively helping plan and execute events for Mn Adult & Teen Challenge, while keeping aligned with organizational goals. This is a visible position within the Marketing department and also requires communication with donors.
Key Responsibilities:
- Assist the Event Manager with aspects of fundraising events in the Twin Cities, including but not limited to: Minneapolis Gala, Hope Awakens Women’s Luncheon, Golf Challenge, Christmas Concert, and the Mankato Gala.
- Duties include:
- Silent auction solicitation, follow-up, item packaging, item entry, writing detailed and accurate descriptions, packaging and photographing items for digital catalog, travel locally to pick up donations as needed, tracking and reporting to create future event goals
- Help with volunteer communication and coordination on event days
- Provide customer service to donors via phone to sell event tickets or assist with online systems
- Assist with set-up and tear-down on event days
- Responsible for the organization of the event storage room and event packing lists
- Create and send fundraising emails to event participants
- Assist satellite center Event Managers as needed for the following events: Duluth Gala, Rochester Gala, Alexandria Gala, Alexandria Golf Challenge, Brainerd Gala, Minnesota Fishing Challenge, Brainerd Golf Challenge, and statewide Christmas Concerts.
- Duties include:
- Providing silent auction support
- Helping ensure registration processes are consistent and running smoothly
- Travel to event locations to provide day-of support and bring supplies as needed
- Collaborate with internal event implementation and event steering teams to ensure consistent communication

Required Skills and Experience:
- 4 year degree in Marketing, Event Planning, or equivalent
- Excellent communication, relationship management and interpersonal skills; problem-solving skills; the ability to work effectively with donors, volunteers and staff; excellent verbal and written communications skills.
- Detail-oriented and ability to effectively manage and prioritize multiple tasks concurrently
- Must be highly organized and have the ability to multi-task in a fast-paced work environment. An extremely high degree of professionalism and integrity, as well as the ability to pay attention to detail and quality standards are required.
- Self-starter able to work independently
- Proficient in Microsoft Office suite programs, Word, Excel, PowerPoint
- Working knowledge of BidPal, Auction Harmony, or other auction management system; Raiser’s Edge database and Constant Contact email marketing experience also preferred
- Flexible work schedule with travel, including evenings and limited weekends
- Must be able to successfully pass background check, and have unrestricted access to driving privileges
