Guest Services Director (Catering + Events Coordinator)
Primary Purpose of Role: Catering sales + coordination including: customer contact + communication with inquiries, invoices, planning events, scheduling, and financial tracking

1. Catering Sales + Coordination
- Receive and respond to catering + event inquiries via email
- Answer potential client questions towards appropriate menus + event choices
- Propose estimates and/or confirm orders via Toast
- Monitor Tock for Feast orders
- Manage and facilitate contracts and payment with guests + clients via Toast
- Act as the primary liaison between catering clients and kitchen leads
- Continue engagement with guests + clients post-event, to gather feedback
- Co-manage the inventory of catering + event collateral (such as stickers, table tents, cards, signs, etc.)
- Design events consistently, in alignment with our service standards, to grow and nurture customer base
- Collaborate with partners on public facing events including collaborations, promotions, and in-house
- Cultivate relationships with event groups that lead to future opportunities for growth in event planning
2. Internal Communication
- Meet bi-weekly with KLT to provide updates and facilitate successful execution of catering + special events
- Assist KLT in staffing, preparation, and execution of events as needed or requested
- Co-manage, facilitate, and be accountable to the creation and use of catering + events documents
- Maintain and update catering menus, item descriptions, event invoices, and kitchen function sheets
- Maintain and update Google Drive, Toast, and event calendar communication
- Initiate communication of events and special orders with catering, kitchen, service, and leadership teams
- Inform Ops + Culinary Leads of inventory needed for catering + special events via BEOs or function sheets
- Communicate with department leads regarding preparation, support, and schedules of events
- Lead and communicate plans for load-out, packing, transportation, cleanup, and storage of all catering implements
- Communicate with CDC for viability of the catering calendar regarding staffing, production, and efficiency
- Maintain communication and collaboration with Marketing Director to plan catering + special events
- Assist the facilitation and communication of programs, seasonal promotions, and initiatives
3. Financial Tracking
- When necessary, provide Accounting with information regarding invoicing, donations, and promotions
- Report to Ops Director, Leadership, and Accounting about new, current, and past events sales/expenses
- Maintain current pricing on all guest-facing platforms + invoices. (In-house and on-line).
- Analyze and report sales data to the Leadership Team for planning and budgeting meetings.
Job Type: Full-time
Pay: $24.00 - $28.00 per hour
Expected hours: 35 – 45 per week
