Cepa Ventures is a newly established organization centered around families and dedicated to nurturing mental health and wellbeing within our community. Through a versatile approach, from family initiatives to diverse ventures and community-driven programs, we aim to cultivate an atmosphere where every individual is esteemed, supported, included, and empowered.
At Cepa Ventures we are seeking a highly motivated, organized, passionate, and dynamic Administrative Assistant to join our newly created team. This position offers an excellent opportunity for growth and development in the administrative field while contributing to the operation of our family life center and assisting the director in various projects and initiatives.
Responsibilities include, but are not limited to:
- Provide administrative support, including data entry, filing, and document management
- Maintain accurate records and databases related to program participants and resources.
- Coordinate and schedule appointments, meetings, and events, handling correspondence and travel arrangements
- Assist in the planning and execution of workshops, events, and programs aimed at promoting family wellness.
- Greet visitors, offer support to clients and visitors, both in person and over the phone and email, and provide excellent customer service
- Answer phone calls and direct inquiries to the appropriate person or department
- Maintain office supplies and inventory, among other tasks
- Provide personal assistant support to executives as needed
- Maintain confidentiality of sensitive information
- Collaborate with team members to ensure the smooth operation of the family life center and other associated ventures.
- Assist the director with research, reporting, and other projects as needed
Skills:
- Passionate about promoting mental health and wellbeing in families and underserved communities
- Detail-oriented with strong organizational skills and the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Bilingual in Spanish desired but not required
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
- Knowledge of QuickBooks or similar accounting software is a plus
- Knowledge about media, communications, and social media is preferred but not required
- Attention to detail and accuracy in data entry and record-keeping
- A dynamic self-starter with tons of initiative, energy, and leadership
- Professional phone etiquette and customer service skills
- Ability to adapt quickly to changing priorities and deadlines
- Previous experience in an administrative role or a related field is preferred but not required
- Ability to work independently and as part of a team
- Located in Orange County, NY (New Windsor, Cornwall, Newburgh, or near towns preferred) or willing to commute
