A DAY IN THE LIFE AS A DOCUMENT CONTROLLER AND RECORDS SPECIALIST
In this role, you will work closely with a team of collaborators to implement and maintain procedures for the effective management of records and controlled documents, including creation, distribution, retrieval, and disposition, in line with organizational and regulatory requirements, for a midstream energy company.
The ideal candidate will successfully:
- Facilitate the administrative management of change process to ensure controlled documents are reviewed, approved, and published accurately, and efficiently
- Manage the physical and electronic inventory of records and documents, ensuring data integrity and availability for business operations and compliance purposes
- Participate in the development and improvement of the RIM program by identifying and implementing best practices, processes, and technology solutions
JOB REQUIREMENTS & EXPERIENCE
- 3+ years of full-cycle electronic document control and Records management experience
- Demonstrate experience of document control and Records management, including Greenfield and Brownfield projects, Engineering and Vendor document management, As-Built documentation, turnover processes, technical close-out, and project archiving
- Oil and Gas industry experience with a thorough understanding of engineering, project phases, facility, and documents for operations
- Working knowledge of SharePoint, M-Files (preferred) and/or other Electronic Document Management Systems (EDMS)
- Strong experience in Adobe Acrobat, MS Office: Outlook, Word, Excel, PowerPoint, and Access with professional understanding of templates, macros, and formatting styles
- Effective collaboration and facilitation skills; this is a team-based environment with interaction among team members and the client
- Strong knowledge of RIM principles, best practices, industry standards and regulatory document control requirements
- Excellent writing skills, i.e., technical documentation, specifications, training materials, presentations
- Excellent interpersonal, organizational, and communication skills, capable of managing multiple tasks of differing priorities with precision and accuracy
- This position may require up to 25% traveling to field facilities and other offices within the United States
NICE TO HAVE:
- AutoCAD experience
- Certified Records Analyst (CRA) and/or Certified Information Professional (CIP) certification
EDUCATION:
- Bachelor's degree from an accredited university or college in Business, Library Science, or a closely related field.
- Equivalent professional experience may substitute for the degree requirement provided the candidate has a High School diploma or GED.
