The HSSE Document Controller and Administrator coordinates and controls the management of records related to general Quality, Health, Safety, Security, Environmental, and both internal and external compliance.
We are seeking a diligent and detail-oriented individual to join our team as a Document Controller and Administrator. This role will be responsible for overseeing administrative tasks and managing the organization's documents, ensuring accuracy, accessibility, and compliance with company policies and regulatory requirements.
Job Responsibilities
- Lead by example and place Quality, Health & Safety, Security, and the protection of the Environment as core values while never intentionally placing employees, our processes, customers, or the communities in which we live and work at risk.
- Provide general administrative support such as managing calendars, scheduling meetings, and handling correspondence.
- Assist in organizing company events, workshops, and conferences.
- Maintain office supplies inventory and place orders as necessary.
- Coordinate travel arrangements for team members when required. n Assist in the preparation of reports, presentations, and other documentation as needed.
- Compile or produce QHSSE reports, documents, and others
- Ensure accordance with company standards, industry standards, QHSSE policy and local regulations.
- Collaborates to set-up and maintain the standards and procedures for the team; Communicates management system updates with key stakeholders.
- Partner with key stakeholders to develop and implement document control procedures to ensure efficient handling, storage, and retrieval of documents.
- Manage the lifecycle of documents, including creation, review, approval, distribution, and archiving.
- Maintain an organized electronic and physical filing system for easy retrieval of documents.
Job Requirements
- Legally authorized to work in the United States, without restrictions.
- A high school diploma is required. Further education in business administration, management, or related field desired; combination of education and experience acceptable.
- 2 years of experience in administration, project coordination, and document control.
- Proven experience in administrative roles, executive assistant, preferably in a document control capacity.
- Knowledge of regulatory requirements related to document control is a plus.
- Possess strong working knowledge of computers and fluent in a variety of software applications (including but not limited to MS Office, Vizio, Power BI)
- Must have excellent and effective oral and written communication, interpersonal, and organizational skills with excellent attention to detail.
- Must have the ability to prioritize tasks and manage time effectively in a fast-paced environment.
