The Document Controls Project Coordinator will perform a multi-functional role which will be responsible primarily for Document Control while providing Project Coordination support to a variety of projects. This position requires a well-organized problem solver. They will need to communicate with various departments to keep everyone on board with any changes to the project document control plan. In addition, they will organize reporting, plan meetings, and provide updates to project managers. This is a skilled position requiring full-time hours in a combination of office and project site environments. Must be analytical and extremely detail oriented.
Position Duties/Responsibilities:
- Receives all deliverables and logs them into the document control system, then creates and distributes transmittals to the clients, vendors, and project personnel.
- Scan, image, organize and maintain documents/filing system, adhering to the company's document controls procedures.
- Maintains documentation logs utilizing the document control system throughout the project.
· Perform intermediate to advance word processing, spreadsheet, and database assignments.
· Respond to requests for documents and distribute them as needed.
· Compile weekly Project Progress Reports for Project Managers.
· Entry of client change orders in company project software
· Support Project Controls and Project Managers with administrative responsibilities.
· Be able to step in and assist team with the workload to meet client deadlines.
· Other functions as directed by management.
Qualifications:
- High School diploma or equivalent
- One (1) + years of document control or equivalent experience
- Three (3) + years of related office experience
- Intermediate Excel skills
- Excellent written & verbal communication skills.
- Must be organized and detail oriented with the ability to multi-task.
- Strong leadership skills and confidence in the ability to estimate costs accurately.
- Strategic planning and thinking
- Excellent written & verbal communication skills.
- Strong analytical and problem-solving skills.
- Collaborate with the different teams working on a project, including Project Managers, Engineers, Designers, and Drafting Manager
Physical Requirements:
· Must be able to sit at a desk for prolonged periods of time
· Extended amounts of time at a workstation utilizing equipment such as computer monitors, keyboard, telephone, etc.
· Must be able to lift-up to 15 pounds at times.
