Division of Food and Energy Assistance:

The Food and Energy Assistance Division is responsible for the administration of several major Federal programs such as the Supplemental Nutrition Assistance Program, Electronic Benefit Transfer (EBT) program, Food Distribution Programs (FDP), the Summer-Electronic Benefit Transfer (SEBT) program and the Low Income Energy Assistance Program (LEAP) and associated support systems and subprograms that address food and energy needs for Coloradans and serves more than one million Coloradans yearly.
The unit must provide for establishing, implementing, and directing policies, procedures, and rules for Programs. The unit is also responsible for policy creation and monitoring, statewide training, management evaluation/program review, issuance accountability and monitoring, employment referral and training, corrective action and collection of benefit overpayments.

This position is currently hybrid, with the expectation to come in twice or three times weekly, depending on program needs.

Program Assistants provide high-level administrative and technical support which involves assisting a Division Director or other professionals by applying knowledge of and/or interpreting basic principles, rules, regulations, policies, precedents, other guidelines and objectives specific to a program or professional subject area to resolve problems, answer questions and provide information, and/or advise others on technical program issues or matters for the Colorado Department of Human Services. The purpose of this position is to provide professional support for the Food & Energy Division through technical programs, communications, decision making, and special projects. This position must provide excellent customer service to both internal and external customers.


Job duties of this position include, but are not limited to:
  • Planning and organizing various meetings for staff, compiling data
  • Preparing management reports that assist the administrator in measuring performance and customer satisfaction
  • Identifying office problems or areas that need strengthening and developing action plans to correct issues identified
  • Providing support to all Divisions reporting to the Director, including customer service issues, technical support, and improving relations with state employees.
  • Using judgment and resourcefulness to solve problems in a variety of situations.
  • Setting priorities and tracking systems to complete assigned updates of program manuals, training materials, newsletters, and other program specific processes assigned
  • Developing and editing multi-faceted documents using software such as Microsoft Office Suite, Visio, and Adobe
  • Maintaining systems for the management of programs' hardcopy and electronic documents
  • Implementing and completing of special projects
  • Coordinating program review schedules and travel relating thereto
  • Designing, processing, and analyzing online surveys, database creation and maintenance relating to documentation of program reviews

Minimum Qualifications
Five years of experience in customer service or clerical experience, which must include some administrative experience in a professional office setting.


Substitutions:

Appropriate education will substitute for the required experience on a year-for-year basis.

  • Excellent verbal and written communication skills
  • Excellent interpersonal and organizational skills
  • Ability to adapt to programmatic changes and learn new computer systems
  • Ability to organize, plan, and prioritize work
  • Demonstrated ability to work with a diverse group of customers and team members
  • Familiarity and experience working with various applications and systems (e.g. Microsoft, Google, etc.)
  • Bilingual

Conditions of Employment:

  • Standard background check
  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must (1) disclose that information on the application (2) provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position, (3) provide the employee number from the applicant's prior State employment. Absent extraordinary circumstances, prior disciplinary termination or resignation in lieu of termination and failure to provide this information will disqualify the applicant from future State employment with CDHS.
