This Program Assistant is responsible for completing clerical and administrative tasks to support the child and family programs within the assigned region of Lutheran Family Services Rocky Mountains. The position provides support to programs serving at risk families, foster youth and foster and adoptive families.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Reviews and tracks required documentation and manages filing according to regulatory requirements and agency policies. Assists with file audits to ensure compliance. May assist with opening, maintaining, and closing client files.
- Data entry including document scanning and reporting using the programs' electronic data.
- Maintains client contact lists and manages communication and notifications with clients, including documentation requests, event notifications, client birthday recognition, newsletters, and other communications as needed.
- Maintains supply of updated client packets, forms, marketing materials, and supplies.
- Supports with financial processes including on-call, expense reports, credit card logs, and foster care billing, working directly with the program and finance staff to ensure timely and accurate reports.
- Makes necessary preparations for trainings, support groups, and special events, including room reservations, equipment preparation, and catering arrangements. Attends meetings when requested.
- Assists with donations for child and family programs in collaboration with Resource Development Team, managing receipt, organization, and distribution of donations, including Holiday gifts and back to school back-pack drive, etc.
- Serves as front desk receptionist for assigned office, as needed by the office needs.
- Assists with program and agency groups and events, including periodic recruitment and marketing events, as needed.
- Performs other duties as assigned.

- Must be proficient with Microsoft Word and Excel, able to utilize electronic data systems, and able to use other equipment such as the copier, scanner, and calculator.
- Must be able to communicate effectively and clearly in verbal and written form.
- Must possess excellent interpersonal and communication skills to work effectively in a team environment.
- Must be detail-oriented, with good organizational skills.
- Must be able to work in a fast-paced, multi-tasked environment.
- Must possess a valid Colorado driver's license and be able to travel throughout the agency service areas.
- Must carry automobile liability insurance at the level of $100,000/300,000/100,000.

High school diploma or general education degree (GED). One or more years of clerical or administrative work experience and/or training preferred.
