- Maintain the efficient operation of the Dean’s office.
- Review incoming mail for all appropriate distribution and action.
- Attend meetings as needed for minute taking, transcribing and distribution.
- Oversee the operation of the office of the Dean.
- Maintain the Dean’s calendar as well as monitor the calendars of Associate and Assistant Deans.
- Utilize University software to retrieve and maintain information, organizing and maintaining records for efficient retrieval.
- Organize and maintain appropriate professional files related to faculty, staff and students.
- Assist the Dean in monitoring the School’s budget. Process on-line requisitions, verifying availability of funds, verifying invoices and reconciling accounts. Responsible for payroll requisitions for Professionals in Residence and stipends to faculty and staff.
- Coordinate School of Computing & Engineering’s Senior Award event and commencement preparation.
- Maintain the confidentiality of faculty, staff and students with respect to personal, academic and related professional issues that are presented to the Dean’s office.
- Supervise student workers.
- Order office supplies, computer equipment, promotional supplies and items for special events as needed.
- Arrange conferences, meetings and travel as required, notify participants, and arrange for all materials, food, facilities, technical equipment, budgets, travel arrangements and support functions. Work with staff to arrange logistics for site visits by accreditation visitors and coordinator arrangements. Assist with the organization, preparation and ordering for receptions, open houses, information session and other University events. Schedule and coordinate meetings inclusive of all related logistics.

- High School Diploma or GED required.
- Prior experience in a senior level administrative role supporting high level faculty or executives.
- Demonstrated technical skills with Microsoft Office Suite applications, including advanced proficiency in Word, Excel, and PowerPoint.
- Proven proficiency in an Administrative Assistant role including proficiency in multiple calendaring programs with proven ability to manage complex calendars.
- Strong problem solving, organizational and analytical skills.
- Ability to work in a fast-paced and complex team environment with a positive attitude, with the ability to take initiative, maintain discretion and confidentiality and work with little supervision.
- Exceptional interpersonal skills to deal with a wide variety of individuals.
- Analytical ability to support the dean with budget management.
- Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion.
