As a Palliative CareAdministrative Assistant, you will play a crucial role in supporting our compassionate team dedicated to providing exceptional care to patients and their families. Your administrative expertise will contribute to the smooth functioning of our department, ensuring that our focus remains on patient well-being.
Responsibilities:
1. Administrative Support:
· Provide essential administrative support to the Medical Director and department staff
· Assist in managing the departmental activity database and maintaining accurate patient records.
· Handle office phone activity, ensuring efficient communication within the team
· Order necessary office supplies to maintain a well-organized workspace.
· Process department expenses and reconcile timekeeping records with the appropriate supervisor.
2. Meeting Coordination and Record Keeping:
· Coordinate multiple meetings, including scheduling, preparing agendas, and documenting minutes.
· Maintain meticulous records of meeting outcomes and action items.
3. Bereavement Support:
· Collaborate with the social worker to prepare documents (weekly handouts) for bereavement sessions.
· Assist in organizing the annual “Healing for the Holidays” event.
· Record all hospital deaths in the database and research next of kin for bereavement correspondence.
· Send compassionate follow-up letters to family members.
4. Quality Improvement:
· Ensure accurate data entry for departmental quality improvement initiatives.
· Contribute to enhancing the overall quality of care provided by our team.
5. Administrative Liaison for Schwartz Rounds:
· Facilitate Schwartz Rounds sessions, fostering open dialogue among staff members.
· Collaborate with HHC Education for Continuing Medical Education (CME) requirements.
· Attend planning meetings, take detailed notes, and ensure effective communication.Create informative flyers and extend invitations to residents and staff.
· Set up Zoom links for virtual attendees when in-person meetings are not feasible.
6. Cafeteria Services Coordination:
Work closely with cafeteria services to organize meals during meetings and events.
