Job Title: Contracts Administrative Assistant
Location: Monrovia, CA Reports to: Contract Manager
SUMMARY
Perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Duties include general clerical, data entry and project-based work.
PRIMARY RESPONSIBILITIES
•Manage Project Information
•Entry of project information and set up in American Contractors within multiple companies.
•Submission of Product information manuals to the GCs for select projects.
•Communication with our GC to procure complete project information via email, telephone and fax.
•Perform day to day administrative tasks for the office team including record keeping, filling, preparing documents and organizing.
•Time management and organizational skills are necessary to ensure that multiple deadlines are met.
•Strong interpersonal and communication skills.
ADDITIONAL RESPONSIBILITIES
•To maintain various logs, tracking and cross-referencing procedures already in place.
•Point of Contact for Preconstruction Documents
•Daily mailing of Certified Letters and Product Manuals
•Ability to multitask.
KNOWLEDGE AND SKILL REQUIREMENTS
•Basic reading, writing, and arithmetic skills required. A high school diploma or equivalent.
•Advanced knowledge of Microsoft Office, Excel and telephone protocol. Knowledge of operating standard office equipment.
•Ability to assertively communicate effectively and diplomatically with your peers.

QUALIFICATIONS
•High School diploma, GED or equivalent required
•Three to four years of administrative experience is required
PHYSICAL REQUIREMENTS
•Employee is required to remain in a seated position for continuous periods of time.
•Employee is required to work a computer on a regular basis for continuous period of time.
•Employee regularly picks up objects with fingers.
•Employee is required to raise or lower objects from one level to another occasionally during the day, 5 to 15 pounds.
•Employee is required, on a regular basis, to push, pull and carry 2-5 pounds of files.
•Employee is regularly required to use the hands and arms to reach for objects.
