ROLE SUMMARY
The Construction Project Assistant will assist the Construction Managers with day-to-day tasks. These tasks may include attending meetings, managing documents, communicating with trade partners and clients, handling submittals, contracts, progress reports, purchase orders, and organizing COIs, RFIs, and other project-related documents.
KEY RESPONSIBILITIES
- Serve as a primary point of contact for communication with trade partners, clients, and internal team members, ensuring clear and effective communication channels.
- Attend project meetings, take comprehensive notes, and distribute meeting minutes to relevant stakeholders promptly.
- Maintain an organized system for project documents, including contracts, submittals, progress reports, purchase orders, and other project-related materials.
- Maintain project plan to monitor and track progress
- Create and maintain comprehensive project documentation
- Track budgetary objectives and provide updates to Director and CFO
- Perform other related duties as assigned
- Develop spreadsheets, diagrams, and process maps to document needs
- Manage and organize Certificates of Insurance (COIs), Requests for Information (RFIs), and other project-related documents to ensure completeness and accessibility for project teams.
QUALIFICATIONS
- Proven working experience in project management
- Strong working knowledge of Microsoft Office
- Familiar with field concepts, best practices, and procedures
- Proven ability to complete projects according to outlined scope and timeline

- Solid organizational skills, including attention to detail and multitasking skills
- Excellent client-facing and internal communication skills
- Excellent written and verbal communication skills

REQUIRED EDUCATION and EXPERIENCE
Must have at least 3+ years of experience in the field
ADDITIONAL REQUIREMENTS
Per state law, must be at least 21 years of age.
Must successfully complete a comprehensive background check.
Must pass a drug screening
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
WORK ENVIRONMENT
This job operates in a professional office environment but will be required to visit and inspect Construction Project sites routinely. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

While performing the duties of this job, the employee is regularly required to be able to speak and hear. Employee needs to be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms and ability to work on desktop or laptop computer for extended periods of time reading, reviewing/analyzing information, and providing recommendations, summaries and/or reports in written format. Must be able to communicate with others verbally and in writing effectively. Employee may be required to occasionally lift and/or move moderate amounts of weight, typically less than 20 pounds. Regular and predictable attendance is essential.
POSITION TYPE / EXPECTED HOURS OF WORK
This position regularly requires long hours and frequent weekend work.
TRAVEL
Travel is required, and overnight travel may be expected.
