ConSysTec (Consensus Systems Technologies Corp.) is a small Systems Engineering consulting firm, specializing in systems engineering for Intelligent Transportation Systems (ITS).
Role: Full-Time W-2 exempt Accounting/Office Manager to support and eventually be responsible for the administrative functions of our office. .
Status: MUST be a US citizen or Permanent Resident/Green Card holder. No exceptions.
Education: Bachelors in Accounting preferred.
Experience: 3 years accounting, excellent QuickBooks & MS Outlook/Word/Excel skills and willing to learn office productivity tools. Familiarity with HR processes and basic employment laws.
Knowledge & experience with Federal Acquisition Regulations (FARs) for commercial businesses and/or project management skills is a plus.
Start Date: Immediate.
Location: New York City Metropolitan region
Attitude: Must be: a self-starter and able to complete assignments independently, organized with attention to details, responsible, reliable, mature, and be able to keep to schedules, an excellent communicator with good interpersonal skills, able to handle confidential information with discretion.
Responsibilities:
- Daily bank account downloading and reconciliation of AP/AR.
- Enter and schedule payment of bills. Categorize and file invoices.
- Monthly: Balance checking account; prepare client invoices, prepare/present financial report. Review/pay vendor monthly invoices.
- Bimonthly: employee hours/expense-accounts review, run payroll, submit payroll taxes & 401(k) deposits.
- Quarterly: file & submit payroll taxes including NY ECET.
- Annual: Prepare Federal/State Tax reports, W-2s & 1099s & W-3/1096; prepare 1120-S, K-1s, ECET funding emails to NY employees; & collaborate with outside CPA for financial & cost-basis audits. Enter annual raises into QB and update labor cost spreadsheet for cost-proposals. Prepare annual cost-basis submissions to multiple state-DOTs for cost-basis approvals. Update SAM (federal System for Award Management) registration. Review/pay annual vendor bills.
- HR: Maintain an Employee Handbook as HR policies evolve, with outside legal counsel support. Coordinate professional staff recruiting. Background check employee candidates; onboard new employees w/benefits signups, administer E-Verify; offboard separating employees.
- Interface with insurance agent, customers, & subconsultants to keep all insurance policies & customer COIs current & in compliance w/contracts.
- Review new client contracts for invoicing, timekeeping, and insurance requirements. Prepare invoice templates in Excel & request COIs from insurance agent.
- Coordinate professional meetings logistics (e.g., exhibit booth registrations).
- Financial reports to management and special assignments as needed.
Language skills: Spoken and written English must be excellent.
Environment: Our office is in midtown-East Manhattan, with an optional opportunity for hybrid work in a home office. Reasonable & actual costs for a home office and smartphone are reimbursed.
Compensation: Dependent on qualifications and experience.
