Job Overview:

The Billing Coordinator is responsible for, but not limited to, running monthly billing reports, compiling month-end data, copying, printing, scanning documents, and processing Central Texas ancillary billing - such as ACF's, ACC and SWM. The Billing Coordinator will also be the backup responsible for the gates team and providing exceptional service to our internal and external clients. Moreover, they will provide a variety of administrative office support including, but not limited to, the list below.


Your Responsibilities:

  • Always provide five-star customer service by responding to incoming visitors, telephone calls, emails, and other correspondence in a timely and courteous manner.
  • Assist with any monthly, semi-annual, quarterly, and annual billing.
  • Provide backup to Office Manager and Regional Furniture/Internet Representative as assigned by leadership.
  • Assist with taking payments from homeowners, provide receipts, and submit payments to the Accounts Receivable department.
  • Assists with processing Certified Mailings: Processing, filing electronic signatures, and maintaining certified logs.
  • Responsible for partnership with the gates department on programming and mailing out access devices for all communities as well as maintaining the online orders, requests, and inventory upload of all pool access device data in various data software programs as well as Connect.
  • Log, approve, and submit invoices for payments, as needed.
  • Run and submit monthly billing reports for all ancillary branches, such as ACC, Southwest Maintenance and ACF's, along with others as assigned.
  • Process for on-boarding and off-boarding clients as directed.
  • Process monthly management fee billing for Central Texas, along with ensuring accurate information for phasing and adjusted billing.
  • Assist with Corporate check deposits.
  • Responsible for Corporate reports, such as additional Billing, Insurance Claim billing, Postage Allocation, Collection Counts, and Architectural billing for all clients, including developer billings.
  • Processing of monthly Southwest Maintenance Billing, along with all work order MobiWorks billing.
  • Responsible for Amazon order submissions and billback to associations, including uploading to Avid and forwarding to the corporate team.
  • Submit Management fee, reimbursable, and billback invoices to Client Accounting.
  • Add architectural review charges to resident accounts in CamAcct.
  • Verizon Corporate Cell Plan Administration, new lines, coding for billback to associations.
  • Support and process Corporate Check requests as needed.
  • Assist with Corporate AR outstanding invoice resolution.
  • Code, process, upload and accurately allocate Amazon billing for each association.
  • Assist with coordination and completion of leadership monthly expense reports, if requested.
  • Be the gates/programming back up as needed and assigned by leadership.
  • Process the billing for FedEx, Amazon, and Staples Advantage accounts, along with all third-party accounts, for monthly billing.
  • Management may assign other duties, or miscellaneous projects from time-to-time.
  • Regular and predictable attendance.


Skills & Qualifications:

  • Education/Training:
    • High school diploma or equivalency. College-level courses in business or hospitality preferred. Two - Four years of office management/administrative support experience required. Two years supervisory experience preferred. Knowledge of HOA or Leasing management or Real Estate, a plus.
  • Experience/Knowledge/Abilities:
    • Excellent PC Skills: Proficiency in MS Office preferred. Must have strong organizational and prioritization skills; Action and detail-oriented; Must be able to multi-task in a fast-paced, dynamic environment. Must possess strong interpersonal, verbal, and written communication skills. Must be flexible, self-motivated, and proactive. Experience in a business center environment, either as an employee or team leader, preferred.

Compensation:$24.04 / hour
