GROW YOUR CAREER WITH OUR TEAM! Mariani Enterprises, LLC has an opening for a full-time Bilingual Administrative Associate to work at our Lake Bluff, IL location.
POSITION SUMMARY:
Provide administrative support for the Production team, as well as taking on Accounting and Human Resource responsibilities as it relates to the Production team. This position interacts with a diverse group of internal contacts at all levels of the organization, as well as walk-in applicants.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
The essential functions of this position include, but are not limited to the following:
• Follow company policies, procedures, and work standards.
• Responsible payroll processing after reviewing time-entry process by the Production Coordinators.
• Review and process all hardgoods material allocations.
• Assist and support Production Coordinators and Production Managers with scheduling of all commercial, residential, and turf contract job opportunities.
• Manage and update field staff crew lists.
• Assist field associates’ request - process Mariani wear orders, manage uniforms inventory, and help with any HR related questions.
• Assist in completing new hire and termination paperwork.
• Assist in the walk-in application process. Hand out the applications, ask initial qualifying questions as decided by the Production team.
• Assist Production team with J.U.L.I.E. marking.
• Review and complete reports to help Accounting with month end close, billing, and other duties as assigned.
• Assist with Front Office duties, as necessary.
• Work independently and within a team on special and nonrecurring, as well as ongoing projects.
• Manage confidential and non-routine information.
• Complete work within proper time limit in order to prevent backlog.
• Maintain high standard of quality of all work performed.
• Complete all proper tasks and paperwork on time and ensure accuracy of all paperwork and other necessary information.
• Arrive for each workday on time and prepared.
NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Participate in and contribute to Mariani initiatives.
• Help other team members in the performance of their assignments.
• Recommend process improvements and areas to improve our service offerings to clients.
• Participate in the snow removal process as necessary (i.e., provide administrative support for snow removal operations).
• Other duties as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS:
• 2 years’ experience in an administrative support role or professional working environment.
• Previous experience in the landscape industry preferred.
• Ability to communicate effectively in both English/Spanish
• Demonstrate strong ability in general computer functions and programs (Microsoft Word, Excel Outlook, etc.)
• Ability to use the company production software (Aspire/Workday)
• Knowledge of landscape terminology as proven by work experience.
• Ability to plan, prioritize, and organize a diversified workload.
• Demonstrate flexibility to perform duties wherever volume considers it necessary.
• Minimize non-productive time and fill slow periods with activities that will enable you to prepare to meet the future needs of internal and external clients.
• Demonstrate strong attention to details and effective communication skills, both verbal and written with Mariani associates on a regular basis.
• Demonstrate accountability for work being performed and completed on schedule.
• Ability to deliver quality results under tight deadlines.
• Professional appearance and proper telephone manners are essential.
EDUCATIONAL REQUIREMENTS: HS Diploma or equivalent

WORKING CONDITIONS: Work requires intermittent physical activity including standing, reaching and prolonged periods of sitting and working at a computer terminal. Responsibilities may require evening and weekend work in response to client needs and deadlines.
