At The Mengyan & Pipala Group, we are dedicated to providing premier wealth
management services and comprehensive financial planning to our valued clients. As the first point of
contact for our firm, the receptionist plays a pivotal role in upholding our commitment to excellence. We
are seeking a friendly and personable individual who will warmly greet clients and visitors, offer a warm
and professional experience, and efficiently manage the advisors’ calendars while also assisting with
incoming calls and client inquiries.
Key responsibilities:
-Extend a warm and professional welcome to clients and visitors, creating a positive first impression
-Manage the calendars for the advisors on the team, scheduling appointments and ensuring a
seamless workflow
-Coordinate conference room availability and private office space in advance for each advisor who
has in-person meetings for the week
-Confirm the next day’s appointments by reaching out to clients to ensure their schedules align
with the advisors’
-Answer incoming phone calls, assist with general inquiries about our wealth management and
risk management services and direct client inquiries to the appropriate team members to ensure
that clients’ needs are promptly addressed
-Maintain an organized and pristine reception area, reflecting our firm’s dedication to attention to
detail
-Manage incoming and outgoing mail, packages, and deliveries
-Collaborate with our team by taking on various administrative tasks to support daily operations
-Uphold a high standard of professionalism, courtesy, and confidentiality in all interactions
-Maintain website updates and oversee social media marketing campaigns and professional
outreaches
Qualifications:
-Exceptional interpersonal skills, phone etiquette, and communication skills
-A welcoming and approachable personality, coupled with strong customer service orientation
-Proficient in organizational tasks, using scheduling and calendar management software, and the
ability to multitask effectively
-Familiarity with basic office software and equipment, including copiers and fax machines
-Ability to adapt to changing priorities and manage time efficiently
Requirements:
-High school diploma or equivalent
-Commitment to maintaining a professional and polished appearance
-A willingness to be a collaborative team member and assist in various tasks and projects
-Experience in a customer service or client-facing role
