The firm is seeking a Benefits Coordinator. This position will report to the Benefits Manager.
RESPONSIBILITIES include but are not limited to:
- Assist the Benefits Manager with the administration of employee benefits in all of the firm’s operations. Provide special guidance and support to all locations on a global scale regarding various legal and administrative staff benefit plans.
- Act as the day to day contact assisting lawyers and administrative staff on all matters related to the firm’s 5 qualified retirement plans.
- Manage the day-to-day questions, emails, and calls regarding 401K plans. This includes eligibility, beneficiaries, deferral changes, allocations, loans, hardships, etc.
- Process uploads to vendors and coordinate changes with payroll.
- Administer the Firm’s frozen defined-benefit pension plan for eligible employees.
- Assist Benefits Manager with annual retirement plan audit process.
- Work with the Benefits Department’s vendors to process monthly bills, changes, issues, new accounts, etc.
- Act as the point-of-contact for the Firm’s health club/gym membership benefits, emergency child care, dependent care spending, and commuter benefits.
- Support maintenance of the HRIS system as it relates to benefits administration.
- Assess and recommend changes to current processes, workflows, and systems.
- Support the Benefits Department with the annual open enrollment process.
- Communicate plan provisions and structure on an ongoing (annual) and new hire basis, when necessary and requested.
- Maintain and update the Firm’s intranet site with the latest plan documents and other plan materials.
- Keep up-to-date on rules and regulations pertaining to employee benefits.
- Facilitate with any ad hoc projects, reports, administrative work, and other tasks as needed.
- Backup for tracking of Short Term Disability leaves, including processing claim paperwork, tracking salary continuation eligibility, assisting Payroll department with collecting claim data for employer tax filings.
REQUIREMENTS:
- Bachelor's degree.
- Minimum of 3-5 years of Benefits experience, including administration of a retirement plan.
- Advanced knowledge of Microsoft Office.
- Strong Excel skills (i.e. Vlookups, pivot tables, macros etc.).
- Experience maintaining confidential/sensitive information.
- Ability to work well independently and in a team environment.
- Self-motivated, proactive, and possesses a high sense of urgency.
- Ability work in a fast paced environment, without sacrificing accuracy or quality of work product.
- Strong communications skills both verbal and written.
- Ability to prioritize and multi-task in a diverse & growth oriented environment.
PREFERRED QUALIFICATIONS:.
- Advanced knowledge of Microsoft Office.
- Experience with large law firms is preferred.
- Working knowledge of Workday HRIS system is a plus.
- Experience working through an open enrollment or annual renewals benefits cycle.
- Strong understanding of benefits processes and data, including eligibility and enrollment rules/procedures.
