ASSISTANT PROPERTY MANAGER is to assist in effectively managing assigned properties. Responsibilities include accomplishing property objectives as set forth by the Property Manager, managing director and the property owner. ASSISTANT PROPERTY MANAGER is directly responsible for maintaining daily, weekly, and monthly financial reports including accurate reporting of rents and deposits received.
DUTIES AND RESPONSIBILITIES
Operations
- Performs onsite inspections weekly or monthly as necessary.
- Coordinates annual inspections for fire alarms, RPZ, elevators, roofs, etc.
- Assists in the coordination of acquiring bids for budgeted projects and capital projects.
- Assists with property emergencies as they arise.
- Assists with liability mitigation and producing incident reports and coordination with insurance carrier when necessary.
- Manage client specific accounts
- Physically inspects property regularly; when on grounds, picks up litter and reports any service needs to maintenance staff or service contractors. Will also inspect move-ins/move-outs and vacancies as needed.
Bookkeeping
- Maintains accurate tenant ledgers. Updates on a daily basis all rents and deposits received from tenants. Issue appropriate notices when necessary (e.g., late payments, 5-day notices, returned check correspondence).
- Deposits all receipts on a timely manner.
- Review and process property invoices weekly for payment
- Assists in the production of the monthly reporting package to clients.
- Assists with annual budget preparation for each property.
- Assists with annual CAM reconciliations for each property.
Administrative
- Answers and handles incoming phone calls from current tenants, vendor/suppliers
- Maintains awareness of local market conditions and trends. Contributes ideas to manager for marketing community and improving tenant satisfaction.
- Updates data on AppFolio concerning move-out notices, activity, etc., on a daily basis and provides information to the manager.
- Organizes and files all applicable documents on company’s Dropbox.
- Proofreads all leases processes move-ins and move-outs.
- Processes all security deposit move-out reports.
- Accepts service requests from tenants and routes to maintenance contractors for prompt processing. Conducts service follow-up with tenant when work is completed.
- Assists with preparation of board meetings for condo associations
General
- Performs any additional duties assigned by Property Manager or managing director
QUALIFICATIONS
- Position requires at least 1 year experience in property management.
- High school diploma or equivalent.
- Must have general computer skills
- Must have a reliable automobile and valid driver's license and automobile insurance.
- Minimum 40 hours per week with flexible work week.
- Must be able to work in a fast-paced and customer service-oriented environment.
- Performs duties under pressure and meets deadlines in a timely manner.
- Works as part of a team, as well as completes assignments independently.
- Takes instructions from supervisors.
- Exercises problem-solving skills.
- Interacts with co-workers, supervisors, guests and the public in a professional and pleasant manner.
