Responsibilities:
- As the first point of contact for calls/emails you’ll be responsible for efficiently determining the correct action and communicating information between tenants, management and maintenance personnel
- Answering phone calls and responding to emails
- Update resident files and process vendor work orders/invoices
- Coordinate with senior management and maintenance to ensure tasks are being appropriately delegated, assigned, and closed out
- Complete contract forms with business and factual information at the direction of and with approval by a licensee
- Maintaining a positive and professional relationship with all owners, tenants, and coworkers
- Communication with Owners and Contractors
- Monthly financial report preparations
- Managing the work order process from beginning to end
- Review tenant files digitally in Yardi
- Assist in maintaining full occupancy of all properties to meet financial requirements
- Generate and close work orders in compliance with lease terms
- Collect and submit bids for work to be completed, including vendor and contractor approval process
- Coordinate with vendors and staff to complete work on a timely basis
- Prepare and submit all check requests for approved and completed work
- Prepare leasing paperwork for renewals and move-ins
- Prepare all notices for properties and tenants
- Prepare violation notices for tenants if applicable
- Assist in collecting rent for all properties
- Review rent logs and prepare notices for tenants regarding late rent payments/balances
- Assist in completing quarterly and annual compliance reports
- Assist in preparing annual preventative maintenance schedules
- Support key management process by verifying master key sets, securing copies, labeling and distributing to appropriate personnel
- Perform other duties as necessary
Qualifications:
- Displays strong verbal, and written communications and interpersonal skills.
- Strong attention to detail to ensure applications are accurate and tenant issues or questions are adequately addressed.
- Strong time management skills; ability to multi-task and effectively manage. priorities while delivering consistent, quality work product, and meeting deadlines.
- Problem-solver who finds effective solutions for a variety of potential issues.
- Exhibited competency in financial analysis
- Must be able to handle sensitive documents and files with proper attention to detail
- Financial and Mathematical skills
- Computer proficiency with strong knowledge of Excel and PowerPoint. Ability to learn new and business specific, software programs as needed
Preferred- not a deal breaker
- property/facilities management experience
- Experience in and working knowledge of business/office administration
- Ability to handle general administration of the property in the absence of the Property Manager, or when otherwise called upon
- Strong written and verbal communications skills, with ability to produce communications and other materials that are effective and of a professional nature
- Working knowledge of Yardi Voyager 7S
