Job Description
The Assistant Property Manager position is responsible for interaction with customers and vendors in a professional and courteous manner. Other duties will be to provide administrative support to the Property Manager with regards to financial reports, budgeting, and accounts payable/receivable functions.
Desired Competency, Experience and Skills:
· Two years of prior commercial real estate experience required.
· Must possess a team-oriented, winning attitude.
· Must be willing to work overtime as needed.
· Proficient in Microsoft word, excel and outlook.
· Excellent written and verbal communication is required in addition to strong planning and organization skills.
Responsibilities:
· Assist in the supervision and coordination of the property operations.
· Assist in interviewing administrative personnel and assist with the performance review process.
· Conduct routine property inspections to prevent and/or identify maintenance repairs.
· Make sure that the office is covered at all times to allow the Property Manager time to interact more with the tenants and their immediate building needs.
· Cover the Property Administrator duties in their absence to ensure the tenant and business needs are met.
· Oversee work order system to ensure tenant and maintenance needs are being met. Generate tenant work orders when needed.
· Handle special janitorial requests and review every morning with janitorial supervisors.
· Review all security reports daily to determine any incidents during security hours and follow up.
· Oversee, organize, and maintain the lease folders, construction files, and vendor files.
· Code vendor invoices, enter invoices into the property management accounts payable program.
· Assist in gathering, compiling, and sending out monthly reporting packages.
· Assist in preparing annual and quarterly budgets and variance reports
· Generate all special billings for tenants.
· Send out monthly rent statements.
· Help with collections for aged receivables.
· Assist in the planning, organizing, and updating the property life safety security procedures and information.
· Oversee all office files and appropriate documentation.
· Ensure the tracking system for certificates of insurance is being maintained.
· Help coordinate all tenant events.
· Communicate with Tenants regularly to address concerns and build strong relationships.
· Coordinate moves of the tenant in and out of the property with the Property Administrator.
· Performs any additional duties that might be assigned by the Property Manager or any officers of the Company.
