Description
GENERAL INTRODUCTION:
The Archbishop is the visible principle and foundation of unity in the particular Church entrusted to him. In a unique and visible way, he makes Christ's mission present and enduring as Shepherd of the Christian Community. In order to fulfill his mission, the Archbishop employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them the apostolic mission and entrusts various responsibilities to them. (Directory on the Pastoral Ministry of Bishops, 198)
Each position employed in the Chancery helps to extend the ministry of the Archbishop in particular ways as outlined in the position description.
GENERAL SUMMARY OF ESSENTIAL PURPOSE:
The Archdiocese of Seattle is seeking an Assistant Director of Advancement Operations to be a part of our high-performing team. This role leads all aspects of gift processing and reporting, will develop and maintain a moves management program, and will manage Advancement data resources to optimize operating efficiencies and effectiveness. This team member will also partner closely with the Chief Development Officer on stewardship giving, prospect research, and special projects.

ESSENTIAL POSITION DUTIES:
  1. Lead prospect research efforts in collaboration with the Chief Development Officer to identify new and high-level annual and campaign major gift leads and targets.
  2. Develop and maintain a moves management program and lead the prospect strategy program.
  3. Work with development department heads (Philanthropy, Events, Annual Appeals, Corporate Partnerships, Institutional Partnerships) to develop a strong prospecting strategy to ensure sustainability and growth in each revenue vertical.
  4. Develop & maintain a moves management system to insure a successful major gift program including building portfolios, with a focus on the statuses of prospects and proposals.
  5. Review, analyze and provide insights on portfolio metrics and fundraising moves.
  6. Develop, implement, and recommend cultivation and solicitation action plans.
  7. Support the development of major gift strategies to renew and upgrade donor gifts.
  8. Move unqualified prospects out of their portfolios.
  9. Generate and provide analysis of various giving and major gift tracking reports.
  10. Analyze data to assess prospects' financial capacity, philanthropic tendencies, giving propensity, and connections to the Archdiocese, and develop reports to track critical data.
  11. Through professional development, keep up to date with effective prospect research and prospect management techniques.

Database Administration
  1. Ensure effective Development Operations and drive fundraising best practices by building and/or refining the appropriate systems, tools, and processes to support your work, including donor prospecting, research, and analytics.
  2. Collaborate with the accounting team and evaluate credit card processing and acknowledgement process oversight with an effort to streamline.
  3. Lead the communication processes related to gift acknowledgments for internal and tax purposes pledge reminders, campaign appeals, and mailing lists management.
  4. In collaboration with the Database Administrator:
    • Generate and provide analysis of various giving and major gift tracking reports on predetermined periods and ad-hoc reports as needed.
    • Develop, test, review, modify, and document complex queries, reports, dashboards, and analyses to provide meaningful insights to leadership on fundraising metrics and their impact and manage.
    • Regularly prepare all advancement financial reporting, ensuring timeliness and accuracy.
    • Collaborate in the training of team members in the various data resources.
    • Support the processing of donor-related information in Raiser's Edge. This includes gifts, pledges and adjustments, and other information that updates donor profiles.
  5. Ensure data integrity in Raiser's Edge and other Development databases, and the flow of information between data resources and various users, including reconciliations with the finance office.
  6. Assist in creating annual stewardship reports for endowment donors and other reporting as needed.
  7. Proactively meet with Development and Foundation staff to build relationships and review data needs.
  8. Develop and maintain documentation of giving policies and processes.
  9. Expert working knowledge of Raiser's Edge and best practices.

Qualifications
ESSENTIAL QUALIFICATIONS:
  1. Bachelor's degree (B.A. or B.S.) from an accredited four-year college or university; and at least four years of data processing and reporting experience; or an equivalent combination of education and experience.
  2. Solid understanding of fundraising concepts and philosophies as well as relevant statutory requirements.
  3. Custom analysis of data, reporting and segmentation is a large part of this role, extensive experience with Excel or similar tools are necessary.
  4. Ability to work collaboratively and effectively in a team environment while working independently.
  5. Creative and effective at problem-solving, responsive to internal and external concerns, and manages conflicts well.
  6. Ability to manage workflow including prioritization and delegation of tasks to meet deadlines.
  7. Excellent verbal and written communication skills, including the ability to communicate technical information to non-technical colleagues.
  8. Attention to detail and commitment to accuracy and quality of work.
  9. Professionalism in dealing with and managing confidential information.
  10. Demonstrated computer skills, including proficiency with Microsoft Office suite, and donor and fundraising database systems.
  11. Believes in and adheres to the Association of Fundraising Professionals (AFP) Code of Ethical Principles and Standards.

Preferred Skills
  1. Experience with Raiser's Edge.
  2. Knowledge of fundraising operations and data management.
  3. Advanced Excel skills, including complex spreadsheets, pivot tables, and data manipulation.

  1. Excellent organizational skills and the ability to work on multiple projects and set priorities to meet deadlines.
  2. Attention to detail with a high degree of accuracy in data entry.
  3. Critical thinking in decision making regarding constituent/parish relationship.
  4. Excellent written and oral communication skills to interact and problem solve any data concerns with constituents, parish and Archdiocesan staff.
  5. Ability to work independently as well as in a team.
  6. Ability to maintain high levels of confidentiality.
  7. Must possess a valid Washington driver's license to be able to travel throughout the Archdiocese of Seattle.
  8. Knowledge of and familiarity with the Catholic Church in Western Washington.

Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, certain degrees and certifications.
