SUMMARY OF RESPONSIBILITIES
Located just outside of Seattle, WA, Lake Washington Institute of Technology (LWTech) was founded in 1949, and is the only public institute of technology in Washington State, that provides students with the latest cutting edge skills relevant to today's workplace. LWTech offers ten applied bachelor's degrees, more than 40 associate degrees and 93 professional certificates, in 43 areas of study, including STEM-focused programs in Science, Technology, Engineering, and Math.

Summary of Responsibilities
The Assistant Director of Enrollment Services provides comprehensive admissions, registration, and records management services to prospective and enrolled students and alumni at LWTech.
The Assistant Director is responsible for overseeing both the general and selective admission procedures for the college (LWTech currently has 14 selective Associate and Bachelor of Applied Science programs). This includes updating selective admission applications in conjunction with faculty members, engaging with prospective students, and disseminating admission decisions and updates to the college community.
Additionally, the Assistant Director will support and assist the Director of Enrollment Services in the daily management of the Enrollment Services office, support collaborative advising model project, and work closely with the Information Technology office to ensure effective collaboration.
This is an administrative exempt position that works under general and infrequent supervision and reports to the Director of Enrollment Services.
ESSENTIAL FUNCTIONS
Essential Functions: General and Selective Admissions (estimated 50% of workload)
- Assist the Director in managing and enforcing admissions policies and procedures.
- Support classified staff who process admission applications for the college, both general and selective programs.
- Support the residency determination process.
- Collaborate with office of instruction (faculty, department chairs, and deans) to update admission applications, review information sessions, and give feedback on admission criteria.
- Inform the college community about admission decisions and procedure changes, prioritizing the dissemination of information to advisors to ensure they are well-equipped to assist students effectively.
- Develop and implement procedures and training materials for the college's selective admission online application tool.
- Support and train staff in processing admission applications via an online admission software; prepare acceptance and denial letters; and respond to student admission inquiries.
- Review and respond to student complaints about the admission process; elevate concerns as needed and according to college policy.
- Compile summary applicant data at the end of each admission cycle (both general and selective).
- Evaluate transcripts for credit transfer.
- Update webpages to reflect all general and selective admission information is accurate and available in a timely manner.
- Assist the Director in developing and maintaining office procedures, training, cross-training, and professional development, ensuring areas of responsibility operate within the policies and procedures of the college and applicable governing agencies.
- Create and implement comprehensive plans for office activity, growth, and progress towards established goals with support of the Director.
- Coordinate and schedule regular and ad hoc office reports, collect, classify, and compile data from various sources, and assist in analyzing and reporting trends
- Represent the college at professional and community organizations, participate in professional conferences and in-services, and contribute by serving on college committees and task forces as appropriate.
- Support the Director and other college administrators in strategic planning, business planning, and additional initiatives as required; assume other related job duties as assigned.
- Perform a variety of activities associated with office operations that require initiative and independent judgment.
- Supervise and train assigned student and classified support staff; back up other college staff as necessary.
- Demonstrate sensitivity toward colleagues, contacts, and students, their needs, issues, and concerns.
- Assume additional responsibilities and performs special projects as needed or directed.
- Collaborate with New Student Orientation team to ensure admission letters and processes support mandatory new student orientation.
- Provide support to the college's collaborative advising model by managing back end functions in the Student Management System (a PeopleSoft product) such as registration holds.
- Work collaboratively with the office of instruction and the advising office on procedures that support the collaborative advising model.
- Participate on small student support team to ensure Enrollment Services expertise is represented.
- Develop, implement, and coordinate efficient procedures for sharing student information with the Information Technology office to credential student accounts upon admission.
- Collaborate with Information Technology and eLearning staff to identify potential fraudulent applications and follow state processes to block accounts as needed.
QUALIFICATIONS
- Sufficient combination of education, work, and lived experience to demonstrate ability to meet the following expectations (generally, successful candidates have a bachelor's degree or higher and 4 or more years of related work experience):
- Provide effective support to a diverse population of students
- Support equitable practices in admission decisions
- Effectively handle frequent interruptions to work, requests for updates, and reporting demands (sometimes on short notice)
- Organize work, engage in a variety of tasks simultaneously, and consistently meet deadlines
- Use various technology platforms, such as the Microsoft Office suite (including Outlook and Excel), student management systems, and CRMs
- Evaluate college transcripts to award credit
- Supervise employees
Preferred Qualifications:
- Experience working in a community or technical college
- Experience using PeopleSoft technology in an Enrollment or Admissions office

Salary placement between $7,234 per month, depending on qualifications. This is a 40-hours per week, exempt position.
