Aquatics Coordinator

Hiring Range is $50,232 to $58,008 annually based on qualifications, education and experience as it relates to the position.
Position Summary:
Under the supervision of the Aquatics Manager, this position oversees all Aquatics programs and operations at assigned indoor and/or outdoor pool(s). The Aquatics Coordinator is responsible for maintaining safe environments for staff and customers, administering lifeguard training, providing instructional learn-to-swim lessons, hiring staff, maintaining staff schedules, coordinating facility rentals, special events, parties, concessions operations, pool maintenance, and budget planning and reporting.
Essential Duties:
  • Oversees pool facilities, operations, and programming with a strong focus on safety, customer satisfaction, staff productivity, facility maintenance and cleanliness.
  • Organizes and conducts lifeguard and swim instructor staff meetings, in-service trainings, emergency drills, and facility walk-throughs on a regular basis.
  • Tracks status of all required staff certifications.
  • Resolves issues pertaining to changing staffing needs, equipment maintenance and repairs, and/or other urgent needs at assigned pool facilities. This may also occur before or after the pool's regular hours of operation.
  • Functions as lifeguard or head-lifeguard and conducts swim lessons and instruction as needed.
  • Trains and orients new staff members to the District's Aquatics programs and pool environment(s) including an emphasis on safety; opening and closing procedures; proper storage of equipment and supplies; and general pool rules.
  • Performs scheduling and onsite supervision of staff for all assigned pool facility activities such as lifeguarding, group swim lessons, private swim lessons, facility rentals, special events, parties, and programs.
  • Remains actively visible and engaged with staff and customers in the facility during open hours of operation. Evening and weekend working hours are required on a regular basis.
  • Reviews and approves employee biweekly timesheets. Works with Payroll Department to resolve any compensation issues.
  • Oversees collection and handling of all monies for programs and activities and ensures that monies are collected and handled according to District policy. Maintains all financial records and performs reporting.
  • Assist with the preparation and monitoring of the budget, manage revenues and expenditures and prepare financial reports. Prepare purchase orders, RFP's, and invoice requests. Collect and record payments/fees for programs and outstanding balances. Prepare short and long-range revenue/expenditure projections, check revenue streams through POS etc. Develop and recommend program related costs, fees, and locations.
  • Assists with the development, implementation, and tracking of a marketing strategy; notifying the public of District events. Works with Communications staff to promote community awareness of pool facility activities and special events and evaluates customer satisfaction.
  • Develop and maintain relationships with District employees, vendors, various outside users groups and associations to coordinate their programs, tournaments, special events and league play.
  • Completes all daily maintenance, incident/accident reports, and inventory logs according to District procedures in a timely manner.
  • Provide a variety of general information to the public regarding parks and recreation operations and programs; respond to questions and resolve complaints as needed.
  • Recognize emergency and dangerous situations by reacting quickly and calmly; administer first aid as needed. Completes Accident/Incident report.
  • Maintains proper pool chemical levels at all times in compliance with local, state, and national standards and keeps accurate records of chemical readings.
  • Responsible for purchasing pool supplies and equipment as needed and keeps accurate inventories.
  • Works closely with maintenance and custodial personnel to ensure safety, proper pool operations and overall cleanliness.
  • Continuously evaluates pool facilities and makes recommendations for improvements to the efficiency and effectiveness of communication, service delivery, expanding opportunities, and physical improvements.
  • Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of aquatics recreational services.
  • This position typically works five days a week including one day of each weekend and off one adjacent weekday. On-call shifts are rotated between this position and other full time staff in the district.
  • Attend and participate in staff meetings, trainings, and orientations.
  • Attend work on a regular, reliable and punctual basis.
  • Hires, trains, schedules, supervises and evaluates assigned staff; provides or coordinates staff training; works with employees to correct deficiencies and provide disciplinary action when appropriate.
  • Observe necessary precautions to assure general public safety; inspect facilities for safety and maintenance needs by conducting facility walk-throughs on an on-going systematic basis and report maintenance repairs.

Education and/or Experience:
  • Two (2) years of vocational or trade school training in a Recreation Program field. A Bachelor's Degree in Recreation Management, or a closely related field preferred.
  • Two (2) years related Aquatics and Recreation service experience and customer service.
  • One (1) year of experience in a supervisory or lead capacity.
  • A combination of experience and education may be considered.

Licenses, Certifications, and Other Requirements:
  • Certified Pool Operator (CPO)/Aquatic Facility Operator (AFO), Red Cross Life Guard Instructor (LGI) or Water Safety Instructor (WSI) with ability to obtain within 90 days of hire.
  • Lifeguard/First Aid/CPR/AED required upon hire.
  • Any additional related certifications.
  • Must possess a valid Colorado Driver License or the ability to obtain upon hire and maintain an acceptable driving record.

Necessary Knowledge, Skills and Abilities:
  • Knowledge of the general philosophy of Aquatics and Recreation and its application; facility operations management; safety and emergency first-aid procedures; customer service principles; establishing and maintaining healthy pool water; pump and filtration operations and chemical feeding equipment.
  • Knowledge of the planning and organization of aquatics instruction and water safety programs.
  • Knowledge of budget planning and management.
  • Skills in swimming, lifeguarding and lifesaving procedures and instruction and water safety programs.
  • Skills in recruiting, training, supervising, evaluating, motivating employees.
  • The ability to successfully establish and maintain safe and fun pool environments.
  • Ability to resolve customer complaints and escalated problems.
  • Ability to effectively handle cash-flow and daily cash reports with accuracy and proper handling in adherence to established procedures.
  • Ability to safely extricate people from a pool who vary in weight, with or without assistance, at any time.
  • Ability to react effectively to all potential mental, physical, and stressful situations inherent to the duties of a First Responder; hear noises either naturally or with electronic auditory assistance equivalent to that of normal conversation up to 30 meters away. Must have 20/20 vision or 20/20 vision corrected by eyeglasses or contact lenses.
  • Must be highly motivated and take direction well with excellent interpersonal and communication skills, both written and verbally.
  • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
  • Ability to provide outstanding customer service and get along with coworkers, patrons, and supervisors and interact with employees and vendors in a professional manner.

Material and Equipment Used:
To successfully perform the required job duties, this position regularly uses a phone, computer, cash register, credit-card machine, calculator, printer, fax and other common office equipment. This position also regularly uses and operates first-aid supplies and equipment, pump and filtration equipment, chemical feeding equipment, various pool chemicals, circulation and chlorination equipment, and simple hand-tools. This position may need to drive a personal vehicle to various District facilities.
Working Environment:
This position requires work in a variety of settings including working outdoors subject to variable weather conditions, ecosystems, and landscape. May regularly be in water. Pool facility environments can be loud, wet, humid, and have extreme temperature variations. May also work in a comfortable office subject to interruptions and background noises.
Physical Requirements:
Stand, walk, swim, sit, handle and operate objects and equipment, reach outward and above shoulder and carry, pull, push or lift up to 25 lbs. May occasionally climb, crawl, squat, kneel and lift up to 50 lbs. and carry, pull, push or lift 75 lbs. or more with or without assistance. The employee must be able to see close up and at a distance with vision acuity and the ability to adjust focus allowing a broad field of vision. The employee must communicate clearly and effectively, must understand and be understood.
