Job Responsibilities
With our Agency's mission to support the recovery of people with mental illnesses, we provide a complete array of medical and support services for children, adults, and families throughout South Carolina.
This position is located at the Department of Mental Health, Waccamaw Center for Mental Health, 164 Waccamaw Medical Park Drive, Conway, SC 29526.
You will under direct supervision of the Office Manager, perform a variety of administrative duties in the Conway Business Office for Waccamaw Center for Mental Health. Applies written or unwritten policies to perform various tasks that have a significant impact on the daily operations of the Conway Office.
Scheduling appointments- monitors the schedules of assigned clinical/medical staff to ensure maximum efficiency of patient care hours. Consistently backfills any canceled appointments.
Appointment reminders - reviews portal daily to ensure patients receive reminder and reschedules patient who request it.
Customer Service- ensures that all patients/visitors are greeted upon entering and/or leaving the clinic. Is responsive to the needs of patients/visitors and addresses people in a respectful manner. Maintains exceptional customer service skills answering phones.
Collecting Payment- Demonstrates fiscal responsibility by informing patients of their balances and requesting payments. Ensures that payments received from patients or payor source are posted efficiently to patients' account.
Bank Deposits - Complies with Division of Financial Services policies and procedures.
Corporate Compliance- ensures adherence to agency's Corporate Compliance policies and plan.
Quality Assurance - Ensures that patient's records are complete and updated when indicated.
General knowledge of office practice and use of judgement and discretion. The ability to use office equipment, i.e. multi-line switchboard and scheduling software, computers, etc.
The ability to communicate courteously and effectively in person and over with phone with all patients, co-workers and the public. Must be flexible, cooperative, muti-task and manage time in a proficient and effective manner in the course of carrying out day-to-day duties.
Guidelines are established by the South Carolina Department of Mental Health and Waccamaw Center for Mental Health. Direct supervision is provided by clinic office manager and at times, by the Clinic Director.
Annual Employee Performance Management System is in place and all job planning, performance and evaluations take place under this system.
Position maintains documents of charts and records in accordance with State, Federal, Local, WCMH, Quality Assurance, Corporate Compliance and CARF standards.
Extended periods of sitting, walking or standing are part of the work environment and/or physical requirements for this position.
Performs other duties as requested by the Office Manager, Clinical Director and Assistant Clinical Director.
Additional duties as assigned - may include Medical Records Request - Process all requests for medical records promptly and in compliance with SCDMH policies and procedures.
Importing patient's records - patients records are up to date and required documentation is added to the import section.
Minimum and Additional Requirements
STATE REQUIREMENT: A High School Diploma. 2 years of clerical experience; or an associate degree in Secretarial Science or other related field; or 3 years of clerical experience.
AGENCY REQUIREMENT: A High School Diploma and 2 years of clerical experience; or an associate degree in Secretarial Science or other related field; or 3 years of clerical experience.
A bachelor's degree may be substituted for associate degree and related work experience.
