JOB SUMMARY:

Provides administrative support to the Administration Division as well as within the Health Department. This position requires excellent communication skills, the ability to multitask and advanced computer ability. Heavy customer contact - phone & in person.

Holiday on-call rotation for Vital Records. Available to attend Board of Health meetings and committee meetings in the evenings.

JOB FUNCTION:


Responsibilities include:

  • Receptionist duties (filing, mail, processing FOIA requests, photocopying, data entry, etc.)
  • Overseeing the Health Departments main phone line (answering phone, taking messages, screen calls, provide necessary assistance, and directs calls).
  • Types a variety of correspondences.
  • Reviews, registers, certifies and issues vital records.
  • Inputs and tracks all billing for vital records as well as administer payments from customers.
  • Orders supplies for the entire Health Dept.
  • Attends all Board meetings & committee meetings.
  • Handles all agendas, minutes, room set ups and correspondence as they pertain to the Board of Health.
  • Provides backup to other divisions within the Health Department.
  • Maintains client confidentiality.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

  • High School diploma or GED. Bilingual
  • Must speak and write Spanish/English fluently.
  • Office and computer skills including Microsoft Office are required.

Other requirements:

All Health Department staff are required to be up to date on the Covid vaccination series as determined by the CDC, including all primary series doses and boosters, as a term and condition of employment with the Department. In addition, proof of all vaccines are mandatory for employment with the Health Dept., including the flu vaccine.
